1 Overview

The Fieldwork menu provides tools and information to plan and organize fieldwork in the Exploratories (Figure 1):

  • News: important up-to-date information

  • Calendar: book sleeping places and equipment, and inform the LMTs about the planned fieldwork

  • Exploratory Information: information about the field sites and stations, weekend working, weather forecast, maps, ...

  • Documents: all necessary documents (permits and forms) for the fieldwork

Here you find all important up-to-date information on restrictions regarding plot access. Please check this page before your field trip.

3 Calendar

The calendar shows reserved resources or bookings to give an orientation for BE-members and LMTS about planned and ongoing fieldwork.

3.1 View option in the fieldwork calendar

The fieldwork calendar shows per default all reserved resources of the actual week (Figure 2). Areas, equipment, and sleeping places are called resources. All resources that are reserved together form one booking. This can be one field trip or even all field trips of the season together. Use filer (Table 1) and view options (Table 2) to get a good overview of reservations.

3.2 Book resources

To announce planned fieldwork and reserve sleeping places or equipment create a booking via Book Resource.

3.2.1 Select resources

In the next step select the areas you want to visit as well as the needed equipment and sleeping places. Add them to the Selected Resources by clicking . After adding all resources, press Continue booking.

Hint: Use the filter options in the green box on the left to preselect the desired region and the resource type (area, objects, and sleeping places).

Note: Book sleeping places separate (single resource) for every person.

3.2.2 Specify resource details

On the follow-up page you will get a detailed view of all your selected resources. The first resource should appear de-collapsed and show all inherent forms. To select another resource or de-collapse it, click .

Please fill out the forms with all necessary information. You find a describtion in Table 3. Hint: The buttons on the right side support an easy filling of several resources (Table 4).

Add accompanying persons. Choose the contact person. A mobile number of the contact person will be shown if provided in the account settings.

Note: Sleeping places have to be booked for each person separately. Use to copy this resource for each person.

Reserved by Is automatically filled
Number Insert the amount of equipment needed. The maximal amount is shown (e.g., max 8).
Reason (only for areas) Add the reason for the field trip. Use the plus-button to select one or more options from the predefined list.

Symbol Short Explanation Long Explanation
Copy filled values to all other Copies all values to all further selected resources (e.g., start and end date).
Check availability Check the availability of a resource. The resource is available if the symbol turns green or not available if the symbol turns red.
Show further resources Shows all other equipment of the chosen Exploratory.
Copy whole resource Useful to book individual sleeping places for each person on the field trip.

On the second (lower) part of this page please add some general information about the field trip: name and description. The description should summarize the booking meaningfully. It will help the LMTs to get a clear picture of your trip and helps to support your fieldwork.

Now press the booking button.

3.2.3 Warning hints

Missing information about a booking will be marked in orange after clicking on the booking button. Select those resources or fields and add the missing information. If a resource is not available, the resource will also be marked.

3.3 Delete or edit a booked resource

To edit or delete a single booked resource or the whole field trip, select it in the calendar. On the next page, there are the following options: delete a single resource, edit resources, delete the whole trip, cancel this action.

3.4 Notification of booking

After finishing or changing a booking, an overview will be sent to the contact person, all other involved persons, the LMTs, and the BExIS team.

4 Exploratory information

Here you find all important information about the field sites and field stations, a fieldwork guideline and a checklist, weekend working infos, weather forecast as well as maps with driving directions to the plots, and many more.

5 Documents

On this page are forms and permits for the fieldwork. In the forms-folder, you find all necessary documents to plan your fieldwork, to apply for permissions, to document instrument installations, and to document your work. In the permits-folder, you find the permits needed for your work on the plots. For further questions, please contact the LMTs.
