Election Procedures

Election period

Elections occur during the Fourth Quarter of the year prior to the term.

Opening the floor for nominations

Nominations for the position for President, Vice President, Secretary, Treasurer, and Trustees shall be taken at the conclusion of the monthly Member meeting in October. The Secretary shall announce all position for election and that nominations will be accepted. If no meeting is held, nominations shall be taken at the time the meeting would normally start, or on the first Tuesday at 8 pm if no prior meeting time had be established.

Taking nominations

All nominations shall be announced to the organization’s Secretary and General Membership in writing. The preferred method is via organizational mailing list.

Closing the floor to nominations

The floor will close to nominations at the conclusion of the November monthly Member meeting. The Secretary shall announce all position with their respective nominations and ask if all members present are satisfied with the nominations prior to the close of the meeting and nominations. If no meeting is held, the floor shall close to nominations at the time the meeting would normally start, or on the first Tuesday at 8 pm if no prior meeting time had be established. The Secretary shall announce all position and respective nomination to the General Membership in writing, preferably by an organizational mailing list, no greater than three (3) days after closing the floor to nominations.

Campaigning period

Nominees are allowed to campaign after their nomination has been submitted to the Secretary. Campaigning shall cease at the start of the December Member Meeting ("Annual Meeting") where elections are held. Nominees will be allowed a speech of duration no longer than two (2) minutes during the December Member Meeting ("Annual Meeting") prior the vote being held.

Voting

Voting shall be held during the Member Meeting in December (the “Annual Meeting”). Voting shall occur after all Membership agenda items have been settled. All eligible members will be allowed to vote in privacy (“secret ballot”) for any or no nominee.

Ballots

The ballot consist of a list of all position and the respective nominees. The Secretary shall prepare the ballots prior to the vote. At the conclusion of voting, the Secretary shall collect and count all ballots. Any member may observe, but not interfere with, the count. Any nominee found interfering with the count shall be disqualified from all positions. Any member found interfering with the count shall be disciplined by the current Board. The Secretary shall destroy all ballots at the conclusion of the December Member Meeting ("Annual Meeting").

Absentee Ballot

Any member wishing to cast a ballot but is unable to attend shall make it know to the Secretary after nominations are closed but prior to three (3) days before the December Member Meeting ("Annual Meeting"). Any ballot cast after this period must be done in person.

Being elected

Nominees obtaining a plurality of votes shall be declared the winner. If no person obtains a plurality of the votes, the position will be considered open and vacant. Position and their respective winners will be announced in the following order: President, Vice President, Secretary, Treasurer, Trustee. Any nominee that is declared a winner in a position shall forfeit their nomination for all other positions.

Term

All newly elected persons shall have their term start at the conclusion of the December Member Meeting ("Annual Meeting").
