Google Season of Docs (GSoD) 2021 Case Study

Metanorma authoring guide for new users

Brief Summary of Problem Statement

Three major problems are identified:

  • New users have difficulties getting started because they can’t find a suitable authoring guide.

  • Existing users need to look for information across the whole website because there is no unified page for their needs.

  • Lack of flavor-specific in-depth documentation.

Four goals of the GSoD project are planned:

  • Assess current documentation

  • Create a tutorial for new users

  • Overhaul information architecture from feature-based to workflow-based

  • Refine SDO-specific authoring guides

Project Description

Creating the proposal

The Metanorma team learned about the GSoD program from its official webpage. The team was very excited, as we all believed the project could help improve Metanorma’s documentation. Most of the team members volunteered to participate in the project. Three team members @ronaldtse, @opoudjis, @strogonoff became the (technical) mentors while @wkwong-ribose drafted the proposal. We also communicated with Metanorma expert users and invited them to participate in the project. The feedback was very positive. Scott Simmons, Chief Operating Officer of the Open Geospatial Consortium, and Marc Petit-Huguenin, Distinguished Engineer and ex-CTO at 8x8 became the (subject-matter) mentors.

Budget

We came up with the initial budget based on our estimations.

When we knew the good news that our proposal was selected for GSoD 2021, we were all very excited. The team members promoted our GSoD project on the Internet and in universities. We ended up with a large number of applications from candidates around the world. After several discussions within the team, we decided to not just recruit one, but two technical writers for the project. The additional funding needed for the second writer was matched by the Metanorma project itself.

Results

Details about the results can be found in the case report slides.

The team carried out both quantitative audit and qualitative audit. 94 sources were analyzed (including website entries and slide decks). The analysis reports summarize identified problems. To overcome the issues, the technical writers created:

  • A new information architecture and restructured the documentation accordingly

  • Content models to standardize future documentation

  • Tutorial content for novice users, including exercises

  • Flavor-specific guides for ISO, OGC, and IETF

  • Cheat sheets for quick lookup

Metrics and Analysis

The two proposed success criteria are:

  1. Unique visits to the new guide (and its pages) constitute at least 20% of the total visits of the project website.

  2. Decrease in the number of non-development direct enquiries by 20% across our GitHub repositories and project email.

We used the statistics between 13 Nov 2021 to 26 Nov 2021 for evaluating criteria 1. The percentage of the number of visits on the new pages over the total number of visits is 18.4%. While the number is below the set goal, it does not include the visits on the restructured pages as it is hard to quantify the contributions in this case. We consider criteria 1 met for the project.

We decided not to consider criteria 2 at the moment as many issues created on GitHub repositories during the period are related to GSoD. As an alternative, feedback from team members was collected. 100% of the team members agreed that the GSoD project can help decrease the number of enquiries.

We consider our GSoD project a success.

Summary

We are glad that the Metanorma project joined GSoD 2021 and we met two excellent technical writers @kickoke and @techtrailhead. While the GSoD 2021 project comes to an end, the journey of documentation for Metanorma will continue. Not only did we address numerous important documentation issues in Metanorma GSoD, but also discovered even more room for further improvements. We are now working with our technical writer to keep improving the documentation of Metanorma!
