Clinic Flow

MoM was designed to work with a very specific clinic flow. Any deviations in the assumed flow may result in inefficiencies and possible choke points. It is strongly advised to adhere to the following clinic flow as close as possible.

Check In

Patients start at a check in / registration area. There should be 6 to 8 computers in this area with 3 B&W laser printers for printing patient information on charts. Patient charts should be pre-printed and have a 2.5” high empty space on the front top for patient information to print. (Template patient charts are available)

Patients should wait in line off to the side until a station opens up. This is usually a good time to have the patients fill out any waivers required by the clinic. Then a volunteer should direct the patient to the next open computer. Here the patient hands the data entry volunteer their waver and answers a series of demographic and survey questions.

Once that is done the patient is assigned a chart number and their chart is printed. The data entry volunteer writes the patient’s chart number on a wrist band and puts it on the patient. Then the patient is handed their chart and waver in a manilla folder and escorted to the next area (typically dental / medical triage).

Assignment Desk

After the patient has gone through dental and medical triage they are assigned to a specific treatment area (hygiene, oral surgery, etc). One computer and data entry volunteer will assign the patient to their treatment area. This allows clinic organizers to quickly assess how many patients are currently assigned to any treatment area.

Radiology

Some patients may be sent to radiology before they go on to receive their treatment. The radiology department should have a computer for each x-ray station plus at least 1 inkjet printer for every two stations (for printing digital x-rays). If digital x-ray is being used these computers should also be running Dexis and Dexis Integrator.

This area will not have any data entry volunteers so during the radiology department’s training they must be instructed on the softwares use. It helps if the lead for the department is comfortable using the software so that they can provide tier one support.

When a patient sits in an x-ray station they are loaded in the software by looking up their chart number. Then they are exported to dexis and all x-rays are taken through dexis.

Once this is done any procedures taken are keyed into the software and the patient is sent to pickup their printed x-rays. This process is repeated for the next patient and is the same for any portable x-ray stations on the clinic floor.

Treatment Areas

The last stop in the patient’s journey is in the main clinic. Here every treatment area will have at least one station for checkout. Larger treatment areas should have more than one. As a general rule of thumb any row of chairs should have at least one computer for checkout. It is helpful to have at least two data entry volunteers at each checkout station. This allows for one volunteer to leave if necessary without shutting down the checkout station.

Once patients are done receiving their treatment in a given area they then checkout. This process can take a few minutes so having a chair for the patient to sit in is a good idea. Data entry volunteers should take the patient’s chart and look them up in the system. If this is the first time they are checking out* they will be asked a few survey questions. Then the volunteers will read the patients chart, confirm treatment, and enter all their procedures and any prescriptions into the system.

*Patients can check out several times if they are having several procedures done in different areas. The patient should check out before leaving one area for treatment in another. This ensures that all procedures will be collected accurately.

Once all procedures have been entered the patient can be escorted to the exit. Their chart should be filed by the data entry volunteers and any additional paperwork, wavers or x-rays, stapled to it.
