GateHouse treats your personal information as private and confidential. We are dedicated to protecting your privacy and providing the highest level of security and confidentiality for your personal information. This Privacy Policy describes what personal information we collect, what we do with it and how we protect it. This policy (together with our Terms and Conditions) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us and stored. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

- Your picture (optional)
In addition, depending on the setting of your browsers, cookies may be collected in order to make your website/app experience richer and faster. None of these is stored on our sites, these are all operations on your browser’s cache.
It should be noted that this information is mostly already available to the estate association, the facility managers and in a more limited way, your security services team.
The application uses your personal information as collected above to create a profile for you within the GateHouse instance that has been created for your estate.
This set of information is provided initially by the Estate Association or your Estate’s facility manager after what we assume is an implicit or explicit approval for that transmittal. In order cases, you directly provide us all of this information at the point of registration your information preparatory for the use of this solution.
- The information collected is only used for the purpose of registering a profile for every user in the application.
- GateHouse, CPAAT Consulting or Carl Philips limited do not make any other use of the data collected.
- No personal information from any estate or persons is passed to any 3rd party of the purpose of harvesting, exchange or sale.
For the avoidance of doubt, your personal information is used only within the confines of your estate’s GateHouse Portal to:
- Create a profile for you within the application so you can login and use the app
- Create a linkage between your profile and your dependants’ profile
- Allow your visitors to be identified by the security team
- Allow your requests to be identified and actioned by your estate’s facility management team
- All your personal data are processed entirely within the GateHouse Portal of your estate. We do not share your data with other residents within your estate.
- We do not share your data with anyone outside of your estate
- Security personnel only see part of your data, not everything.
We do not store any of your data on local devices. All Personal Information you provide to us is stored on our secure servers on our cloud infrastructure (where applicable) for the purposes of providing seamless services to you, including but not limited to ensuring business continuity, the data that we collect from you may be transferred to or stored in these and other highly secured cloud locations at globally accepted vendors' data center. Whenever your information is transferred to other locations, we will take all necessary steps to ensure that your data is handled securely and in accordance with this privacy policy. All data is stored in our highly secured cloud hosting provider, DigitalOcean. Please visit www.digitalocean.com for more about the data protection and security process at DigitalOcean.
In today’s highly connected world, security of data cannot be 100% guaranteed, but Digital Ocean provides advanced technology from mirroring to encryption to a data fortress to ensure that access to all hosted data is all but impossible.
Our application front end sits in the same environment with as our database servers, so communication between these two are secured, encrypted and private.
In summary, your personal information with us remains secure because:
- We use strict security measures and technologies to prevent fraud and intrusion.
- Our Security controls and processes are regularly updated to meet and exceed industry standards.
- Our employees are trained to respect the confidentiality of any personal information held by us
- Where we have provided you (or where you have chosen) a password which grants you access to specific areas on our site, you are responsible for keeping this password confidential. We request that you do not to share your password with anyone.
We retain your data for as long as your estate is using the application. We do not store your data for any legal, regulatory, administrative or operational requirements. We only retain information that allows you to interact with the application for as long as you and your estate is subscribed to it.
Data which is not retained is securely destroyed when it is identified that is no longer needed for the purposes for which it was collected.
You have complete control over the information you give us. You may change it at will. You may also delete sub-information (for your spouse, children and wards), but you are unable to delete your own profile. The administrator of your estate’s portal has the privilege to do this and will do it only when you no longer reside in the estate, or for any other purpose as approved within the confines of your estate’s rules and procedures.
Keeping your account information accurate and up to date is very important. You have access to your account information and that your immediate dependants. You are free to update this at any time.
