Deleting records that have been tracked with Dynamics 365 for Outlook

You can use [!INCLUDEpn_microsoft_dynamics_crm_for_outlook] to track email messages, contacts, tasks, and appointments. When you track an item, a copy of that record is saved as an activity in [!INCLUDEpn_microsoftcrm] and synchronized with the [!INCLUDEpn_Outlook_short] record. The following rules apply whether you synchronize records with [!INCLUDEpn_crm_for_outlook_short] or [!INCLUDEcc_server_side_synch].

Email messages

Appointments

Deleting a tracked appointment in [!INCLUDEpn_Outlook_short] deletes the appointment in [!INCLUDEpn_microsoftcrm]. Deleting a tracked appointment in [!INCLUDEpn_microsoftcrm] deletes the appointment in [!INCLUDEpn_Outlook_short] if the following is true:

  • The appointment date is in present or future.

  • You are the owner or organizer of the appointment record.

    If you stop tracking an appointment, [!INCLUDEpn_crm_for_outlook_short] asks whether you want to delete the appointment from [!INCLUDEpn_microsoftcrm]. The appointment record is deleted in [!INCLUDEpn_microsoftcrm] if the following is true:

  • The appointment date is in present or future.

  • You are the owner of the appointment record.

Contacts

  • Deleting a tracked contact in [!INCLUDEpn_Outlook_short] does not delete the contact record from [!INCLUDEpn_microsoftcrm].

  • If you are the owner of the contact record, deleting a contact from [!INCLUDEpn_microsoftcrm] deletes the tracked contact from [!INCLUDEpn_Outlook_short].

  • If you are not the owner of the contact record, deleting a contact from [!INCLUDEpn_microsoftcrm] does not delete the contact from [!INCLUDEpn_Outlook_short].

  • If you are the owner of the contact record, and you stop tracking the contact, [!INCLUDEpn_crm_for_outlook_short] asks whether you want to delete the contact record from [!INCLUDEpn_microsoftcrm].

  • If you are not the owner of the contact record and you stop tracking the contact, [!INCLUDEpn_microsoftcrm] deletes the contact record.
