The Marketing team can help the Community Mentorship program develop strong communication materials for the program and its participants throughout all stages of the cohort.

##############

Starting framework:

#Communication Flows

  • program admin(s) <-> participants
  • mentor <-> mentee
  • mentor <-> mentors
  • mentee <-> mentees
  • cohort-wide

#Communication channels
Slack channel(s)
Email
GitHub
CRM
BuddyPress

**Questions **

  • What is format for mentor/mentee engagement? Provided or personal channels? Recorded or no? (any potential liability issues to flag here if not recorded?)

#Communication timeline
These points each need template text.

Mentees

  • Accepted to cohort

  • Wait-listed to cohort

  • Audit cohort (apply again)

  • Mentee expectations

  • Introduce to mentor/schedule meeting

Mentors

  • Mentor expectations
  • Introduction to mentee

Community

  • Make post announcing first cohort (mentors/mentees)
  • Press release announcing first cohort (mentors/mentees)
  • Landing page for next cohort (ideally with a dedicated mailing list)
  • Post(s) introducing participants (perhaps in mentor/mentee groups)
  • Make post closing out cohort
  • Make post with end-of-cohort survey results
  • Press release with survey highlights

#Program followup

Participant survey

  • mentor
  • mentee
  • auditing/cohort
  • participating teams

Other Topics

Vetting process (social media vetting?)

Badges (teams?)

  • Mentors
  • Mentees

Note: Re potential cohort Slack channels, there is a related Slack channel naming and permission conversation happening in #meta

Thanks for this comprehensive checklist, @sereedmedia!
I have prepared the following templates that we can try and use:

Please review the same, happy to offer any changes or edits as required.

@sereedmedia I have more documents prepared as per this guide:

Here's the Google Doc links I started:

Edited to rename the links to denote that the docs include pre and post-mentorship content. Although, a pre-mentorship email template isn't needed this time around (as determined in a Slack conversation) as all the mentees are already in Slack for this cohort.

The pre-mentorship quiz is done and I'll be posting it in Slack for mentees to fill it out on July 12, 2023. Thank you so much @sereedmedia and @harishankerr for editing the questions!

I also prepared a list of questions for mentors:

  • On a scale of 1 to 10, how would you rate your relationship with your mentee? / 1-10 scale
  • Were there any challenges or barriers you faced in mentoring your mentee? If so, how did you address them?
    How do you think the mentees benefited most from this mentorship program? (e.g., answering questions, regular check-ins, having peers) / Open text
  • What additional resources or support would have made your mentoring experience more effective? / Open text
  • How can we improve the program in the future? / Open text

I would love some feedback! @jennimckinnon @sereedmedia @harishankerr
Let's aim to send the mentee/mentor survey by Thursday (Aug 10) this week, so we can engage people before they leave/mute the Slack channel.

I really like the questions @naokomc . It is important to have mentors' feedback too.
Could the first question have the words 'mentoring relationship' which will help with translation and understanding too?

On the second bullet point, perhaps another example, understanding more about contributing.

Another question may be: What follow-up or signposting do you think mentees would find useful?

Thank you.

@harishankerr @naokomc Thanks for your patience! Here's the link to the finished post-cohort mentee questionnaire: https://forms.gle/DYUTmE2NwaKJL4d37

It's ready to be shared and I added the same WordPress.org email to the access list.
