Because we were kind of late this year with planning, I'm putting my ideal planning time line here for next year to remind myself of when things should ideally get done. :)
Up for discussion, of course. Feel free to edit if I've missed something.

  • At Astro Hack Week 2017: find someone to spearhead organization for 2018
  • Sep - Nov 2017: scout funding opportunities and possible locations (especially if their are constraints on location such as rooms that need to be booked far in advance)
  • Dec 2017: decide on location, finalize time plan for funding applications
  • Jan 2018: Finalize website + application form
  • Feb 2018 - End of April 2018: application period; finalize budget (esp. for travel funding); prepare programme + contact potential tutorial facilitators
  • May 2018 - mid-June 2018: finalize participant selection; Note: travel support grants must be finalized by then, because participants need to know with their acceptance whether they get support!
  • mid-June - start of AHW2018: communication with participants, LOC odds and ends; plan hacks; prepare follow-up survey!
  • Autumn 2018: Astro Hack Week! 🎉
