How to Use Template


  • Note taker is responsible for defining meeting details and checking attendees.
  • Agenda should be written before the meeting . This section is used for listing the meeting purpose and discussion subjects. Each attendee is responsible for setting the agenda.
  • Meetings are ideally 1 hour if there is no emergency.
  • Action plan is the result of the meeting. This section defines what will be done during the coming week.
  • Meeting notes will help to remember what is discussed. Note taker should write it clearly. It is important to not write spcific sentences, not generalized ones.
  • Actions should have assignee, if there is non-assigned action, note taker should assign it.
  • Action may linked with issues if possible.

Online Meetings


  • It is hard to keep track who is talking and generally there are interruptions.
  • A volunteer from the meeting is responsible for leading the meeting.
  • Zoom will be used for online meeting, Since it has hand-raising feature.
  • Speaker should give attention to talked around 4-5 minutes at most.
  • If meeting is diverged from agenda, leader should warn the attendees.

Face to Face Meetings

  • Speaker should give attention to talked around 4-5 minutes at most.
  • If meeting is diverged from agenda, note taker should warn the attendees.
