  • Ensure that TG and IG convenors have backend user status and have rights to the right nodes
  • Each must confirm that they have working account
  • Ask each to upload annual reports either to GitHub or Typo3
  • Update date of last report and link to it for each IG/TG

The activities page is here http://tdwgng.tdwg.org/activities and Stan says it is ready with the old groups, but some of them may need to have links rerouted to GitHub. We need to work with conveners to be sure the right links are there.

Then, we need to create the new activities pages and add a link to those activities to the table.

Also need to add the "Recent report" column.

Hi

I have following question from the Species Information Interest Group in 2015 and where to put their Charter and have a group in GitHUb see hereunder.

Can you confirm that the way to go is

1 creating a new repository in Github TDWG with the "TDWG Species Information - TSI" that we can thus call TSI
2. their charter text (which is thus a new one) has to go online on the new website (it was never uploaded on the old one due to the issues to update the page) the charter (approved is in the TDWG docs folder at https://docs.google.com/document/d/17gXUoF9UArgGKxUkYwYYGSkE82StsHXdCQ6M-EdUfGY/edit and you can see also in that document their links to the TDWG wiki and another website they use currently.

Maybe @peterdesmet can guie them through the procedure ?

I have seen that some good information on the IGs is up in the GitHub; How I should to proceed to create a section for the “TDWG Species Information” IG and upload information? Do you have to get credentials from you? Can I register myself and do it? I have attached its charter for your convenience.

I don't think IGs need to use GitHub. How about using the templates on
typo3?

Decision in last meeting:

Decided that we need to get old interest groups online first (adding the new groups) then revisit restructuring with another meeting.

  1. So, we'll first need to make sure that the pages reflect the current situation (can be done before or after migration of website).
  2. Then we need to assess which groups are still active
  3. Then we need to know their requirements for an online presence
  4. Then we can decide the best way to implement this (my preference: a lean and easy to update cover page on TDWG website, with links to where the action happens).

Hi

I have created a mailing list on Chimp (taken from the names on the GBIF former one, "convener@tdwg.org) and other names we have added. there are conveners or contacts for the IG and TG. Need help to check here : https://us9.admin.mailchimp.com/lists/members/?id=656501#p:1-s:100 that I did not forget anyone.

In future to be consistent would like to use this Chimpmail distribution list to reach out the conveners and some associated contacts, when I need to reach them all (ask for reports, for input for the conference ...)
in a second step, it is up to the converners and their group members to decide if they have enough with Github or want to have their Chimp distribution list for their IG/TG specifically.

I have sent out to the list and asked them to report to @gkampmeier asap if they come to TDWG 2015 and want a session/potential conflicts. and for the reports of the activity of their groups. as especially the first question is urgent. if you spot that I forgot someone, let me know and we will resend to this person specifically and add him/her to chimp.

I would like to move this issue and all the related from infrastructure to a new repository I just created for IG and TGs on the new TDWG website to ease the follow up as here they are too mixed up with other things. I do not see an obvious function on how to move issue to another repository in the interface ? is there a quick way to move them ?

There is no quick way to move issues to different repositories and I really think anything to do with web content belongs here. I can't check too many repositories. You can always use tags to easily filter things so you won't see the other issues.

If this is about executive business, use the tdwg/executive repository.

Thanks, not it is not executive business and would be a reflection for all users of the tdwg Github in our infrastructure and get opinions and advice from people that are maybe more familiar with the system.

.It is just we get now many Git issues and repositories with overlapping discussions and follow up assignments. I was just wondering if afterwards we notice that some issues could be regrouped, there is a way to do it easily in Github. I am a bit surprised that this is not the case in such a system, which is other wise very handy.

Especially if it is intended to host some of the standards discussion groups/repositories. For example some IG and TG could decide to merge in one IG or TG for some reason in future, how can this be handled in Github ?

I see -- you want it to be a discussion area for all IG and TG personnel.

Issues are easily grouped with Labels. I just made one for IG/TG -- if it has to do with the web content I think it still belongs here. If it has to do with other business of IG/TG, It is okay if you want them to go to that other repository. Each IG/TG should be responsible for their own GitHub repository, but not all will have them -- it isn't worth it if they are using other methods for discussion and sharing documents.

I created the column where the latest report will be linked in the new "Activities Prep" page. Now I need help from Stan getting the reports that we have uploaded and linked here. I don't think we should ask conveners to do this, at least for now.
