Prerequisites

Activiti Mobile works against

  • Activiti BPM Suite v1.1+.
  • 1.2.2 is the recommended version as it provides better support for mobile devices.
  • Android 4.4+
  • Kitkat, Lollipop, Android M
  • Alfresco Mobile 1.5.1 (Optional)

Setting up Activiti Mobile

When you first install and access Activiti Mobile you can connect to any existing account. Just open Activiti Mobile and tap Login, then you can enter your account details to get connected.

Connect to an activiti.alfresco.com

If you’re already an Activiti Cloud user, you can connect to your Activiti Cloud account.

  1. Tap activiti.alfresco.com
  2. Enter your login email address and password.
  3. Tap Sign In
  4. Then enter an optional name for your account and tap Done
  5. You can start managing your tasks & processes

Connect to an Activiti OnPremise

If you’re already an Alfresco Activiti BPM Suite user, you can connect to your Activiti OnPremise.

  1. Tap Activiti OnPremise
  2. Enter your Activiti server hostname
  1. Tap Sign In
  2. Then enter an optional name for your account and tap Done
  3. You can start managing your tasks & processes

Using Activiti Mobile

Once you’ve connected Activiti Mobile to your Activiti account it’s time to start managing your tasks and processes.

The Activiti Mobile display is split into three main areas; Activiti Menu (left sliding area), Lists/Details (main center area) and an options menu (right sliding area).

You can show and hide the menus by swiping the left or right edge of the screen or by tapping specific icon on top left/right corner. Use your device's back button to move back through default display.

Activiti Menu

By swiping from the left edge you display the Activiti Menu. This menu is divided in 3 parts:

  • Account Information (top area)
  • Activiti Apps (middle area)
  • Settings bar (bottom bar)

Account Information

This area shows the current account used to connect to Activiti servers. You can change accounts by tapping on it and select another account. If necessary it's also possible to add a new account from here.

Activiti Apps

You can retrieve here the list of Activiti applications your account can access. By tapping on one of it you switch the context of the main area (list tasks from this applications)

Settings bar

Account informations, Help and application Settings are displayed in this section.

Tasks list

Provides access your task list and lets you work on tasks assigned to you from any process app. This is also where to start new tasks.

By default tasks displayed are all open task in which you are involved for the selected Activiti application..

From this screen you can display Processes List by tapping the icon associated (process icon) in the top action bar. To return to task list simply tap the icon (task icon) in the top action bar.

Filtering

Tasks list screen has an optional menu. You can display it by swiping the right edge of your screen or by tapping the filter icon on top right of the screen. It lets you filter the list of displayed tasks.

You can filter by task name, the state of the task, by process definition, or by assignment.

  • Task name You can enter a string to search for matching task names.
  • State You display open or completed tasks. The default is to display only open tasks.
  • Process definition You choose a currently running process name, and display only those tasks that are associated with that process.
  • Assignment You can choose to display on tasks in which you are involved, or just tasks that have been assigned to you, or just tasks where you are one of several candidates.

To reset all the filters to default, use the Reset filters button.

Create standalone Task

You can create a single task for yourself or others and assign it for completion.

  1. Tap + button on bottom right corner.
  2. A dialog appears. Give your new task a name, and optionally a description, and click Create.
  3. Your new task is created and the task details are displayed.

Working with Task

After you have created or selected a task you will see task details information. Depending of the state of task (open or completed) the details page display more or less informations.

Each task contains at least 2 sections

  • Properties: Main information of the task.
  • If the task is open properties like description, due date, assignee can be modified by tapping on it.
  • Process information can also be displayed if the task belongs to a process.
  • Completion properties like ended date or duration are displayed when the task has been completed.
  • Related Actions:
  • Share link: Allows to share a URL to this specific task with 3rd party applications. (send via email)
  • Involve People: If the task is open, you can involve people in this specific task.
  • Add Content: You can add related content to this task (if the task is open) from any applications installed in your device like Box, Dropbox, Google Drive or Alfresco.
  • Add Comment: If the task is open, You can add a comment.
  • Main Action
  • Complete: Complete quickly the task.
  • Show Form: If the task is associated with a form, this action will display the form in edit mode if the is task is complete or read-only otherwise.

Optionally this page can display informations like

  • People involved: List all people involved to the completion of this task.
  • To remove a person just swipe right to left the row containing the person information and tap the remove icon.
  • Related Contents: List content related to this task.
  • To remove a specific content just swipe right to left the row containing the person information and tap the remove icon.
  • To open the document you need to display it in listing mode via the Show all action.
  • Comments: Just tap the top right filter icon or swipe the right edge of your screen to display the comment panel.
  • You will see comments associated to this task from people involved.
  • You will also be able to add a comment with the bottom field.

NB: If the task doesn't contain any people involved, related document or comments, an help section will be displayed.

Task Form

To complete a task with a form, you need to fill and complete the form. By tapping Show Form on an open task you access a screen which display the form.

At any time you can tap Save Form (only available since Activiti BPM Suite 1.2.2+) action. It will save the current values you have added.

After filling the form, you can tap one Outcomes button. The default task outcome is "complete" if none has been defined.

IMPORTANT Limitations

In Activiti Mobile some field types are currently unsupported. Some of them are not supported because of the app version or the Activiti server version.

The list of unsupported field are listed below:

  • Dynamic Table
  • Upload Field with Link setting (supported with Activiti BPM Suite 1.2.2)
  • Upload Field with Google Drive integration is not supported

Processes List

The Processes list provides tools for starting an existing process, and tracking running processes' progress. As you start processes, they appear in a list.

By default processes displayed are all open processes for the selected Activiti application.

From this screen you can display Tasks list by tapping the icon associated (task icon) in the top action bar. To return to processes list simply tap the icon (process icon) in the top action bar.

Filtering

Processes list screen has an optional menu. Just tap the top right filter icon or swipe the right edge of your screen. It lets you filter/order the list of displayed processes.

You can change the default displayed order of Newest first to Oldest first.

  • If the displayed list includes completed processes, then you can also show those Completed most recently and Completed least recently.

It's possible to change the default process state filter

  • You can display open, completed or both. The default is to display only open processes.

To reset all the filters to default, use the Reset filters button.

Working with Process

After you selected or created a process you will see its details. Depending of the state of the process (open or completed) the details page display more or less informations.

Each task contains at least those sections

  • Properties: Main information of the process.
  • If open, properties like started by and started at are displayed.
  • If completed, duration and completion date are shown.
  • Related Actions:
  • Share link: Allows to share a URL to this specific process with 3rd party applications. (send via email)
  • Add Content: You can add related content to this process (if the process is open) from any applications installed in your device like Box, Dropbox, Google Drive or Alfresco.
  • Add Comment: If the process is open, you can add a comment by tapping on it. Furthermore by swipping from the right edge you will be able to display comments associated to the process.
  • Tasks: All tasks in the process are displayed.
  • Active tasks: If the process is running, you will see the active tasks displayed first. By tapping on it you display the task details screen.
  • Completed tasks: If task has been completed, you will see it here. By tapping on it you display the selected task details screen.
  • Main Action
  • Cancel process: You can cancel a running process.

Settings

Activiti settings are available after adding at least one account. You can access it by opening the left sliding menu and tapping the gears button. Below Accounts title you can see the list of account associated with Activiti Mobile. Tap one of it to display account settings.

Account Settings

  • Name: Edit the account name as displayed in Left Menu.

  • Details: Edit the account details.

Alfresco Integration

If your Activiti administrator has defined an integration with Alfresco One onPremise, you will be able to retrieve integration information here.

Each Alfresco integration server is represented by a row and are visible only if you have defined your username/password in Activiti WebApp.

Activiti Mobile supports 3 integration modes

  • Link to Alfresco Mobile: Alfresco Android Mobile Application will be used to retrieve information from any linked content from Alfresco. This mode is also the only mode which allows linking document from Alfresco with an Activiti task/process instance.
  • Link to Web Browser: This integration allows the user to open an Android Web Browser to display the Alfresco Share Web page of the document.
  • No Integration: All Alfresco linked content can be open only by downloading it to the device.

You can define the integration level by tapping the 3 dots menu next to each row.

Setting up Alfresco Mobile Integration

NB: This documentation section requires Alfresco Mobile 1.5.1 or later and at least one Activiti Alfresco integration on Activiti Webapp

Regarding the order of installation between Alfresco & Activiti Mobile you should encounter different use case as explained below

Alfresco Mobile installed prior to Activiti Mobile

If you had Alfresco Mobile installed prior to the installation of Activiti Mobile and if the Alfresco username & URL are identical you have nothing to do. The setup is done automatically and you should see the Alfresco Icon displayed next to your integration row with the mention Linked to Alfresco Mobile

In this case when you open your account settings you need to

  • Tap the three dots menu next to the integration row
  • Choose Link to Alfresco Mobile
  • The app prompt if you want to install Alfresco Mobile from the Google PLay Store. Tap Go To PLay store
  • Install the application and Go back to Activiti Mobile
  • Now the screen displays Alfresco Account not found! and propose to Select or create Alfresco Account. Just tap the button
  • Alfresco Mobile login screen is now displayed. You just have to enter your password and tap Connexion
  • Your Alfresco account has been created and if you go back to Activiti Mobile the screen displays Alfresco Account found!. Just tap Confirm
  • The integration is done and you should see the Alfresco Icon displayed next to your integration row with the mention Linked to Alfresco Mobile

Manage Alfresco Mobile Integration

In some case you might need to change the integration to revert to another mode or to update the account associated.

In this case when you open your account settings you need to

  • Tap the three dots menu next to the integration row
  • Choose
  • Remove Link to disable the integration
  • Remove Link & Link to Alfresco Mobile to update your Alfresco information
  • Remove Link & Link to Web Browser to use your web browser to access Alfresco linked Content
