Workflow of publishing contract

After creating a contract, publishing block will look like the image below: 1

When text extraction process from the contract(which is in PDF format)is not complete, the publishing block will change to:

  • Notice that all of the three elements -- Metadata,PDF Text and Annotations -- will be in draft states.

Metadata

  • After the extraction process is complete, a 'Complete' button will appear in 'Action' column of Metadata. Unless you complete the action by clicking the button, you can not publish or reject metadata and other two elements as well.

  • After you click the 'Complete' button, you will see two buttons -- a 'Publish' button and a 'Reject' button.

  • After publishing the metadata, the block will look like the image below:

  • The state of Metadata will change from 'Completed' to 'Published'.
  • Published date/time, publisher's name, a link and an 'Unpublish' button will appear in published info column.
  • The link will take you to the subsite where you can check if metadata is published or not.
  • When metadata is published, the contract's PDF file will also be published.
  • When you click 'unpublish' button, metadata will be unpublished from the subsite and the state will change from 'published' to 'completed'.

  • Similarly, when the metadata is rejected the state will change from 'completed' to 'rejected'.

PDF Text

  • Before publishing the PDF text, you need to select the 'Text Type' as 'Acceptable'.

  • Now if the metadata is in published state, a 'complete' button will appear in Action column of PDF text.

  • Similar to metadata, you can publish or reject the PDF text. 10 11

Annotation

  • If metadata is published, a complete button will appear in action column of annotation . To publish or reject annotation, follow similar instruction as for PDF text.

  • When all the elements(Metadata, PDF Text and Annotation) are once published, then "Publish All" and "Unpublish All" button will appear.

  • On clicking "Unpublish All" button, it will unpublish all the elements. And the state of each element will return to "completed". 14

Note

  • If any one of the above elements is edited, its state will change to 'draft'.
  • If the Text type is selected to "Needs Editing" or "Needs Full Transcription", PDF Text cannot be published.
