Digital Transfer

These procedures for the transfer of digital materials to SFU Archives are primarily from the point of view of Archives' staff who manage the process. Procedures and other supporting documentation for producers (SFU departmental staff or private donors) are available separately on the Archives' website. See the Workflow Diagram for a visual representation of the overall process and the Summary Checklist for a quick overview of the steps. Note that documentation is a work in progress and in many places provides only a skeletal outline, with detail yet to come.

Procedures are organized by transfer phase:

A list of Support and Training Materials lists related resources currently available or planned.

The agents involved in a digital transfer are:

  • Producer = An SFU departmental staff member or private donor who creates digital records that can be transferred to Archives.
  • RMA = Records Management Archivist – Archives staff responsible for transfers of university records.
  • AOA = Acquisitions and Outreach Archivists – Archives staff responsible for transfers of private records.

Processing activities may be shared between other Archives' staff:

  • RC Clerk = Records Centre Clerk
  • ArchTech = Archives Technician
  • SURA = Systems and University Records Archivist.

The Archives has not yet determined exactly which staff role will take on which transfer processing activities. Some activities require software that cannot be routinely installed on SFU Managed computers (but have been installed on the computers of the ArchTec and SURA).
