Checklist for organizing a meeting

  1. Find a presenter
  2. Confirm the venue (default to ShopifyPlus office)
  3. Scheduled the event on meetup

  Everyone is invited to join in this event. The Shopify office is fully accessible and has a gender neutral facilities available on site. Should you require any additional accommodations, please let us know in advance.

  By attending this event, you grant Shopify (and others on behalf of Shopify) the right to record, film, photograph, or capture your likeness in any media and to distribute, broadcast, use, or otherwise disseminate, in perpetuity, such media without any further approval from or any payment to you.
  1. Announce the meeting as soon as it is scheduled, if it is the next meeting
  2. Forward the link to watcamp to be added to their calendar
  3. If there is an issue requesting this topic, add a comment with a the link to the event
  4. Scheduled tweets in TweetDeck for around noon on the following days:
    • each Wednesday of the month
    • Friday before the meeting
    • Monday before the meeting
    • day of the meeting
  5. Announce the meeting on the Wednesday after the previous months meeting.
  6. On the Wednesday before the meeting cross post the event to the following sites:
    • reddit
    • linkedin

Checklist for running a meeting

  • expect organizers for a pre-meeting at 6-ish
  • order food to arrive around 1900
  • welcome people at 1900, point out bathrooms and describe agenda
  • chat and eat
  • introduce the presentation with an announcement around 1930
  • post-presentation discussion

Checklist for post meeting

  1. Add links to slides or other materials to:
    • meetup page
    • reddit post
    • twitter
  2. Email a thank you to the presenter(s), and ask if they have any feedback
  3. Make sure the presenter(s) and their companies are linked from kwruby.ca
  4. Add future meeting topics mentioned to the issues list
  5. If there is an issue requesting this topic then close it.
