How to create an activity with AidStream (Form)

When you first start with the activity it takes you to the setting page where it opens up the activity elements checklist. This menu has been explained above. You can start with the default elements.Or if you want your file to be in more detail you can click on more elements to be included.

Activity Identifier: The identifier add’s onto your organisation identifier and is auto generated based on what you put into the identifier. It is always advised for first timers to look in the registry to get a idea of how activity files are created.

Once you have created an activity you can edit it in the activity panel. All the created activities show up here. If you click on an activity the page shows the information that has been put into the activity. At the beginning there is limited information, to put in more information use the panel on the right hand side to edit different field/elemts.

Not all options need to be filled, fill the details according to the your requirements and the standards. There are some mandatory information as well that have to be filled, this should be filled properly.

Whenever you have filled out information the tab on the right hand side with the elements will have a green tick on it. This means that you have filled it and can towards other fields.

Basic activity information

Title of the project:This can be found on the right hand side of the activity panel, once chosen you will have have to give the title for the activity. All projects have titles so give yours as well, this can be given in different languages. This is one of the mandatory parts of the activity creation process. The titles maybe be repeated for different languages.

Description: Description is another mandatory part of the activity information. Description consists of a type and a narrative.

Description type: Choose among the types of description in which you want to explain your project.

Narrative: Write what your project is going to be about. Multiple descriptions can be added but the type has to be changed/cannot be repeated. Narratives can be repeated in different langauages. http://iatistandard.org/202/codelists/DescriptionType/

Activity status: This is the the status of the activity that has is being reported. The definition of the activity status can be found here http://iatistandard.org/202/codelists/ActivityStatus/

Activity Date: The activity dates should be entered. At minimum you should specify an actual start/planned start dates, this is the minimum requirement. Multiple dates can be mentioned which can be different.

  • Start dates, actual/planned should be mentioned
  • Actual start date or end date should exceed today's date

Participating organization

Organization role: Choose from four different types of roles

Organization type: Choose the type of organization the participating organization is similar to your own (government,NGO,multilateral)

  • Add up till four different organization
  • Mention the participating organization identifier if that is not there write a narrative about the organization you are mentioning
  • Your own organization can be repeated in this part if your are fulfilling any of the roles for your

Geopolitical Information

Recipient Country: Recipient country is the country at which the project is associated with.

  • Recipient country can be specified multiple times
  • If there are more than one recipient countries than a percentage should be given, the percentage should add up to 100 for the given recipient countries
  • Recipient country can either be specified at transaction level or activity level(geopolitical) but not in both.
  • If percentage is not specified then it is considered to be 100

Recipient region: Region or area that the activity is associated with

  • More than one region can be specified
  • Multiple regions can be put and their sum percentage should equal to 100
  • If a percentage is not given, than it is considered to be 100

Location:The sub-national geographical identification of the target locations of an activity. These can be described by gazetteer reference, coordinates, administrative areas or a textual description. Any number of locations may be reported.

Classification

Sector: The sector refer defines what sector the activity is being conducted in Sector vocabulary:It should be considered that the sector codes change according to the different vocabulary. To understand the different vocabulary http://iatistandard.org/202/codelists/SectorVocabulary/

Things to be considered while working on sector

  • Can either be mentioned at activity level or at all transaction levels
  • Multiple sectors can be specified
  • Sectors under the same vocabulary need to add up to 100%

Policy Marker: A description of the policy marker. This MUST ONLY be used where vocabulary = “99 - RO” (the reporting organisation’s own marker vocabulary). May be repeated for multiple languages.

Colaboration type, Default flow type, Default finance type, Default Aid type and tied status have already been explained in Settings, under it Default values

Country budget item: This item encodes the alignment of activities with both the functional and administrative classifications used in the recipient country’s Chart of Accounts. This applies to both on- and off-budget activities

Humanitarian scope: Classification of emergencies, appeals and other humanitarian events and actions

Financial

Budget The main aspect of budget in the financial part of the activity is to allocate the budget for activiy.

  • The value of the aid activity’s budget for each financial quarter or year over the lifetime of the activity
  • The total budget for an activity should be reported as a commitment in the transaction element
  • While it is useful for the sum of budgets to match the sum of commitments this is not necessarily the case, depending on a publisher’s business model and legal frameworks

Planned disbursement

  • The planned disbursement element should only be used to report specific planned cash transfers
  • These should be reported for a specific date or a meaningfully predictable period
  • These transactions should be reported in addition to budgets - which are typically annual breakdowns of the total activity commitment

Transaction

You can add the transaction manually or upload it. All the uploading methods will be explained in the uploading section.

Provider org For incoming funds this is the organisation from which the transaction originated If omitted on outgoing funds the reporting-org is assumed http://iatistandard.org/202/codelists/OrganisationType/ Reciever org The organisation receiving the money from the transaction (if omitted on incoming funds then the receiver organisation is assumed to be the reporting organisation) http://iatistandard.org/202/codelists/OrganisationType/
