Event Planner

The Event Planner serves as a comprehensive guide to ensure seamless organization of various events hosted by ALiAS. The template provided below outlines the necessary steps to plan most offline events, such as workshops.

Pre-event

Posters

Pin/Paste three colored and thirty grayscale posters on the notice boards in the E3 block and the allocated venue. The posters should include the following details:

  • Event title
  • Speaker information
  • Date, Time, and Venue (DTV)
  • Availability of on-demand (OD) resources (Yes/No)

Materials to Arrange

  • Prepare a minimum of three pen drives to store software and applications, if required.
  • Ensure appropriate lighting and sound arrangements.
  • Allocate sufficient space to accommodate the expected number of RSVPs.
  • Arrange technical equipment, including a projector, LAN connection, router, and power cords.

Event Day Preparation

  • Verify that the venue arrangements meet the event requirements.
  • Confirm the presence of the scheduled speaker.
  • Assign a photographer for capturing event moments.
  • Facilitate on-the-spot registration for attendees.
  • Send a reminder to those who have RSVPed for the event.

Post-event

  • Collect feedback from attendees, including reviews, suggestions, and comments.
  • Prepare a summary write-up (100-150 words) and a detailed report (approximately one page) documenting the event.
  • Follow up with attendees, providing them with additional resources, information about opportunities, and guidance on further contribution and learning.
  • Share relevant documents and slides related to the event with the attendees.
