Roles should be assigned as the meetup is being planned. A person can fulfill multiple roles at once, and multiple people can take on the the same role at once.
- Organizer: Coordinates the missing bits and makes sure roles are assigned
- Camera: Use OBS for streaming, could have multiple people
- Moderator: Keeps meetup on track during the event
- Speaker Coordinator: Reach out to speakers and keep them in sync
- Speaker: Prepare a talk with some optional slides to present at the event
- Social: Send out tweets / keep people informed about the event
- Media: Chop up the recordings and post them on YouTube or Twitter
- Update the schedule on Github (Organizer)
- Update the Hubs room via Spoke and Hubs bot (Organizer)
- Make sure speakers are still available and have their slides ready (Speaker Coordinator)
- Send reminders to people as time draws near (Speaker Coordinator / Social)
- (Optional) Dress rehersal with presenters to make sure everything is working (Everyone)
- (Bonus) Uploading presenter notes to hackmd.io (Speaker / Speaker Coordinator)
- Double check audio / video quality for folks recording (Media / Camera)
- Drop into the world, decorate, wait for guests (All)
- Start recording/streaming to twitch or youtube (Camera)
- Use OBS for the recording.
- Double check the audio!
- Click camera mode from the hamburger button or tilde ` for clean UI
- Have camera people right click slides to enlarge them periodically
- Moderate talks to stay on schedule (Moderator)
- If streaming, read questions from chat (Moderator)
- Cut-off at 2 hours, closing statements, end stream (Moderator)
- Chop up video into into individual talks (Media)
- Upload the videos to the M3 channel with description (Media / Social)
- Update the Schedule/Research Github repos with timestamps (Media / Organizer)
- Finish the meeting and presentation notes on hackmd.io (Organizer / Moderator)
- Send out Tweets about the event (Social)
- Post M3-related media to twitter (Social)
- Do a daily roundup of links and post in Discord (Social)
- Reach out to interested parties in Twitter/Discord DM to see if they want to present on their topic (Social / Speaker Coordinates)
- Attend other events and cross-promote (All)
- Scan related Discords and cross-pollinate (All)
- Keep in touch with presenters to make sure it's still on track (Speaker Coordinator)
