i4.scas.info

This database, developed by Willy Xiao, serves the needs of the Small Claims Advisory Service, an organization that provides information for residents of Massachusetts going through the small claims court system. Their website is masmallclaims.org. Look at Documentation.md to learn how to develop for the SCAS i4.

How to use the i4

New User

If you are a new comper for SCAS, then your training director should have rights to create a new account for you. They should go under database > Add User. By filling out the form, you will automatically be considered a "comper" and have certain editing rights. The default password should be passed by word-of-mouth, so ask a current SCAS Board Member for your password!

Find/Add client

When you receive a new contact from a client, you should then add it into the i4 (this includes emails, appointments, and phone calls). To do this, go to Find/Add Client. Inside here you should enter as much information as possible about the client; this will help you find the client in the database if they've already been added. If it's an old client, you can click on their name and go to their client page. If it's a new client, click the "Add New" option and they will be entered into the database.

Editing a client

Client Information:

  • To update the client information, simply change the fields that you see on the client's page and you click "Update Client". If you see a "Client successfully updated message, then it's worked!

New Contact:

  • To add a new contact to a client, click the "Click here to add new contact" button. The "Contact Date" should be the time when the contact occurred. For example, if a client left a voicemail on September 20 but it was entered into the database on September 28, the Contact Date should be September 20. Make sure to update the Contact Type and the summary. You do not have to worry about logging information about when the contact was entered or who entered it, all of those are automatically tracked by the system.
  • Be sure to be as comprehensive as possible in the summary field! This creates continuity for the clients so that they don't have to explain their case from the start each time they call us.

Edit Old Contact:

  • To edit an old contact, simply click on the contact and edit as if you were adding a new contact. While the Contact Added By field will stay the same, the "last edit" information will change.

Tips/Hints

Email:

  • From each client page, you can email the SCAS i4 users that previously have touched the client (including added or edited contacts) and legal research. This bar with the email information is termed the "Genius Bar."

Merge:

  • The "Genius Bar" also allows you to delete and merge clients (if you're not a comper). To merge a client, find the ClientID of the other entry. Then on the merge page, fill in that ClientID, update the client info in the middle of the page and click merge! All old i3 contacts and i4 contacts will be automatically merged into one client.

Managing Users

The executives and the tech director have power to manage current users. This includes changing information about the users, hiding users from the login, and graduating users from the comp. This can be found under Database > Manage Users.
