So, You Want to Write an SOP?

What is a Standard Operating Procedure (SOP), and why is it important for an organization?

  • SOP must answer what needs to be done, when does it need to be done, and why including step by step HOW

What are the three types of documents that should be included in an SOP manual? Briefly describe each type.

  • Policy, SOP, and Work Instructions

Why are SOPs considered a primary way to implement or enforce policies in an organization?

  • Consistency in execution. Anyone can pick up where someone else left off when there is new management

What does the author emphasize regarding the audience when writing SOPs, and why is it essential to consider them?

  • the writing style my not be understandable to all audiences, so each company has their own style. Not only understable, but the steps must be specific, or in some cases allow freedom depending on the company

Imagine you are a part of a multicultural team responsible for following an SOP. How would you address potential misunderstandings or differing interpretations of the procedure due to cultural differences? Could you propose strategies to foster effective cross-cultural communication?

  • To foster cross-cultural communication, I would implement policies that are tried and true. There is an overall culture that should be dominant and although everyone is respected, the person coming into my house must abide by my rules, otherwise you have to many chiefs, and this creates chaos. Therefore the dominant culture would fall in line to the dominant culture's beliefs and practices, from there, I would establish policies that follow the American standard. To treat others as they should be treated whether they respect themselves or not, and not how they would like to be treated. Some people want to be treated badly. People who have different ways of doing things and different beliefs are free to practice and believe as longs as they respect the dominant culture that dictates according to American culture and beliefs. I wouldn't go into someone else's house and open their fridge, and lay down on their couch like it was a bed and start being obnoxious. I also would not go and start complaining about how the host is not offering me their first born child and how much that host sucks. So I would not cater to the minority culture because this is selfish and creates the majority to suffer, and who wants anyone to suffer. I've been the minority culture and I can tell you. I have felt more welcome in companies that understand this concept vs companies that are wishy washy and you can't trust what they say because they don't even know what they say.
