Third pre-release of Vibe Files: document management for small CPA and tax firms over a plain client folder tree (Windows, portable).

Pre-release: in use at Kisaes LLC for its two-week live run (PHASES P13). Not yet on winget.

Install

Unzip vibe-files-0.1.2-win64.zip into a folder and run vibe-files.exe. Everything it needs is inside: pdfium (PDF viewing), TWAINDSM (scanning), Tesseract with English data (OCR). Upgrading: replace the exe and DLLs; the data folder and cabinet are kept. Setup and day-to-day operation: OPERATIONS.md in the zip.

New in 0.1.2

  • Browse
    • The folder tree shows the client's folders as they are on disk, with a Folders / By year toggle.
    • Drag documents onto a folder to move them; Undo puts them back.
    • Files copied in through Explorer show up on their own within 30 seconds.
    • There's a Client column, a preview pane showing the selected document's pages, and Scan and Print… buttons.
  • Viewer
    • Ten-key tape under the page: keypad or the numeric keypad, pick amounts straight off the page, labels from the form's captions, and paste the tape onto the PDF as an annotation.
    • Letter tickmarks A–Z and a tickmark color.
    • Editable initials, Print…, and Close.
  • Intake
    • Several people can file at once. Each PC works in its own folder and its Undo last batch is its own.
    • A Just filed panel sets doc type, tax year, status and source for each document in a batch.
    • Clients known only from their folders now appear in Intake's client box.
    • A print captured on two PCs at once is processed only once.
  • Print
    • The Windows print dialog, page ranges, annotations included.
    • Documents with what looks like an SSN or EIN ask first.
    • Every print is recorded in the audit trail.
  • Admin
    • An admin password locks Admin and the Sync settings (anyone can still push and pull).
    • New Devices and Folder templates pages.
    • A doc type can be the cover-sheet default, and cover sheets start at last year.
  • Sync
    • The sync key can be kept in the cabinet so every user syncs without the passphrase. It's never uploaded.
  • Look
    • Dark mode and text size (A- / A+), both remembered on each PC.
    • The last cabinet opens automatically.

License: AGPL-3.0-or-later. Bundled third-party components keep their own licenses (pdfium, TWAINDSM, Tesseract: Apache-2.0).
