Seventh pre-release of Vibe Files: document management for small CPA and tax firms over a plain client folder tree (Windows, portable).

Pre-release: in use at Kisaes LLC for its two-week live run (PHASES P13). Not yet on winget.

Install

Unzip vibe-files-0.1.6-win64.zip into a folder and run vibe-files.exe. Everything it needs is inside: pdfium (PDF viewing), TWAINDSM (scanning), Tesseract with English data (OCR). Upgrading: replace the exe and DLLs; the data folder and cabinet are kept. Setup and day-to-day operation: Help inside the app, and OPERATIONS.md in the zip.

• Folder import (Admin › Folder import), for adopting an existing client folder tree:
  • Match shows how well each folder matches its client, graded by how close the names are: 90–100% are ticked for you, 60–84% need a look, 50% or less mean something is off. What is ticked for you is unchanged from 0.1.5.
  • Show matches from N% up filters the list; Hide already bound and Hide folders with no match shorten it.
  • Tick all shown / Untick all shown, the Bind box at the top of the column, and Shift-click to tick or untick a run of folders.
  • Ticked folders the filter hides are still imported, and the Import button says how many.
• Help: Clients and relationships now walks through adopting an existing folder tree step by step: import the client list (it renames nothing), scan, check the matches, tick, optionally rename folders to {Client} ({ID}), import.

New in 0.1.5

• Fill in PDF forms (Viewer › Form tab)
  • Type into the fields on the page, or in a list of every field by page. Tab moves to the next field; check boxes, option buttons and drop-downs work on the page too.
  • Save writes a new version that stays fillable here and in Acrobat; the previous version is kept. Save as… works too.
  • Save flattened copy writes … (flattened).pdf beside the original with the values burnt in, for the copy you send or sign.
  • Tested on blank IRS fillable forms (1040, Schedule 1, 1099-NEC, 8879, W-4, W-9). Forms that also carry Adobe's XFA data show the typed values in Acrobat.
  • A PDF locked only against changes (an owner password) is filled and saved without that lock. One that needs a password to open can't be filled here.
  • Save on a digitally signed PDF asks first, since saving changes into it makes the signature invalid.
  • The audit trail records how many fields changed, never what was typed.
• Pages
  • Pages… shows page thumbnails: click to pick pages (click again to drop one, Shift-click for a run), or type them as before.
  • Right-click a page, or its thumbnail in the strip, for Delete page N, Extract page N… and Pages….
  • Flatten now keeps form values another PDF program filled in without drawing them.
• Fixes
  • The Viewer's right-hand panel no longer slips partly off-screen.
  • Page edits wait until unsaved changes are saved or discarded, so they never land on the wrong pages.
• Help: new article Filling in forms; Page tools and Viewing a document updated.

  • A Preview pane shows the pages of the file you click, beside the queue.
  • Tick several rows to give them one client (Set client…) or one rule (Apply rule…) at once.
  • A client that isn't in the list can be created right from the row with New client…. The row gets the new client straight away.
  • Setup is read-only while the admin password is set and Admin is locked.
  • Batches another PC filed while this one was closed are all recorded now, not just the last one.
  • Includes Filer Desktop 0.2.6. Vibe's print capture stays the one place UltraTax is set up.
• Browse
  • Hide folders and Hide details give the list more room, and are remembered on each PC.
  • File names are black in light mode and white in dark mode, in semibold.
  • The folder path has its own row.
• Viewer
  • Insert blank page (in Pages…).
  • Closing a document goes back to Browse.
• Admin
  • Only the pages that exist are listed.
  • Cancel takes back a document approved for destruction while it waits.
  • Removing the admin password now reaches every synced location.

  • A Help button in the header, and F1, open 39 support articles on the screen you are on.
  • The articles are grouped by section, can be searched, and link to each other.
• Browse
  • Drag files from Explorer (e.g. Downloads) onto a client's folder: they are copied in and cataloged, and the original stays where it was.
  • Scan straight into the folder shown. The scanner's own window (PaperStream) is the default, and every front and back page is kept.
  • In a client's Relationships, the other client's name opens its folder.
  • Doc types can be archived: they are hidden from pick lists, and documents keep them.
• Viewer
  • The ten-key tape is now a 10-key tab beside Annotate, Stamps and Redact.
  • A pasted tape never covers another tape on the page.
  • Closing Vibe Files with annotations unsaved asks first: Save and quit, Discard and quit or Keep editing.
  • The sign-off initials must start with the first letter of your Windows login.
• Fixes from a full QA review
  • Ten-key: S and T finish a pending × or ÷; flipping a picked amount after a total recomputes the totals; very large amounts are refused; a divide by zero leaves no stray lines.
  • A scan started in Browse that cannot be filed is kept rather than deleted.
  • Print: a failed page ends the job cleanly; overlapping page ranges print once.
  • The admin password stays locked if its file can't be read.
  • One PC's text size no longer asks every other PC to reload Intake.
  • Retention destruction also removes the copies left in each PC's Intake folder.
  • Light theme: the header buttons are visible again.

• UltraTax print capture set up like UltraTax's own PDF File Options: variable positions and a file name example, and a Document Names table where each document gets a custom name, doc type, File / Don't file, a folder and a file name (as printed or short). Government copies go to Income Tax/{Year}/Government Copy, preparer copies to Workpapers, and the K-1 package can also be copied to each partner.
• Admin › Print capture & parsers is an editor with a "Try a file name" box. Vibe Files keeps Intake's filing rules in step with it.
• Sync remembers its passphrase for each Windows login on each PC (Windows DPAPI). The passphrase is still the recovery key.
• Versions follow a renamed or moved document through a catalog rebuild.
• Folder-import guesses wait for a person: a tax year taken from a file name, or a doc type taken from a folder name, keeps the document out of disposition until someone confirms it.
• Slow work no longer freezes the window: opening a cabinet, the weekly audit check, the Browse folder listing, Flatten / PDF/A / Compress, Combine, Intake reconcile and sync unlock now run in the background.
• Three rounds of QA fixes: security, client data in logs, sync correctness, crash safety and undo, ingest and OCR robustness, dropped network shares. One data folder per Windows login on a shared server, and a data folder can be open in only one copy at a time.
• An 8-hour no-leak test passed.
