HelpDot Documentation Review

Overall Assessment

This PR systematically removes references to Individual Workspaces across 6 Expensify Classic help pages, aligning documentation with the migration of paid personal plan users to Collect workspaces. The changes are well-scoped and consistently applied. The net result is 16 additions and 70 deletions -- the documentation becomes noticeably simpler and easier to follow. The PR also includes a welcome bug fix (adding https:// to bare www.expensify.com links in the Karma article).

Scores Summary

  • Readability: 9/10 - The proposed changes improve clarity across every file. Removing the Individual vs. Group distinction eliminates a concept that no longer exists, making instructions more direct. The simplified FAQ headings in Create-a-workspace-for-yourself.md ("Can I use Expensify for free?" and "Can I create a workspace to use just for myself?") are more natural and user-friendly than the originals.
  • AI Readiness: 8/10 - The changes remove outdated terminology that would confuse AI retrieval systems. Updated navigation paths (e.g., Settings > Workspace > [Your Workspace Name] > Subscription) provide clear, actionable context. One minor gap: the removal of the image reference in the Karma article reduces visual context, though this is justified since the screenshot depicted a now-removed Individual workspace UI. No YAML metadata changes were needed or made, and the existing metadata is adequate.
  • Style Compliance: 8/10 - Changes follow Expensify documentation conventions: lowercase "workspace" for generic references, proper bold formatting for UI elements, and correct markdown structure. The simplified intro in Change-Plan-Or-Subscription.md correctly updates the plan list to "Collect, Control, and Free" (removing Track and Submit). FAQ answers are concise and direct.

Key Findings

Positive aspects:

  • Consistent removal of the Individual/Group workspace distinction across all 6 files -- no half-measures
  • The Change-Plan-Or-Subscription.md cleanup is substantial (removing 38 lines of now-irrelevant Individual Plan sections) and leaves a cleaner, more focused article
  • The Create-a-workspace-for-yourself.md workspace creation steps are reduced from a confusing two-path flow (Individual setup + Group creation) to a single, clean 3-step process
  • Bug fix: the bare www.expensify.com links in Personal-and-Corporate-Karma.md are corrected to https://www.expensify.com (both Personal Karma and Corporate Karma sections), which fixes what would have been broken markdown links

Items to note (unchanged portions outside the diff scope, flagged for awareness only):

  • Change-Plan-Or-Subscription.md still contains multiple "Group Workspace" and "Group tab" references in its unchanged sections (e.g., "Settings > Workspaces > Group > [Your Group Workspace]", the FAQ about "Group Workspace" members). These may warrant a follow-up pass
  • Personal-and-Corporate-Karma.md Corporate Karma section still references "group workspace settings" and "Settings > Workspace > Group" in unchanged lines -- consistent cleanup may be desired in a subsequent PR
  • Expense-Settings.md line 48 still says "If your Group Workspace integrates with..." and line 133 mentions "group (paid) workspaces" -- both unchanged but potentially worth addressing for full consistency
  • Navigate-multiple-workspaces.md still references "Click the Group tab on the left" in unchanged step instructions

One issue within the diff:

  • In Change-Plan-Or-Subscription.md, the new intro line removes "Track" and "Submit" from the plan list (now "Collect, Control, and Free"). If Track and Submit plans genuinely no longer exist, this is correct. If they still exist but are simply not tied to Individual Workspaces, the removal may be premature. The PR author should confirm this aligns with the product migration scope.

Recommendations

  1. Confirm plan list accuracy: Verify that removing "Track" and "Submit" from the plans listed in Change-Plan-Or-Subscription.md is intentional and matches the current product state (not just the Individual Workspace removal)
  2. Consider a follow-up PR for remaining "Group Workspace" / "Group tab" references in unchanged sections of these same files, since those terms may also become outdated as the Individual/Group distinction is fully retired
  3. No blockers identified: All proposed changes are clean, accurate relative to the stated goal, and improve the documentation

Files Reviewed

File Status
docs/articles/expensify-classic/expenses/Expense-Types.md Clean -- simple terminology fix (1 line)
docs/articles/expensify-classic/expensify-billing/Change-Plan-Or-Subscription.md Largest change -- removed 2 full sections, simplified intro. Verify plan list accuracy.
docs/articles/expensify-classic/expensify-billing/Personal-and-Corporate-Karma.md Clean -- updated nav paths, fixed bare URLs, removed stale screenshot reference
docs/articles/expensify-classic/getting-started/Create-a-workspace-for-yourself.md Clean -- consolidated workspace creation flow, improved FAQ headings
docs/articles/expensify-classic/workspaces/Expense-Settings.md Clean -- simple terminology fix (1 line)
docs/articles/expensify-classic/workspaces/Navigate-multiple-workspaces.md Clean -- simple terminology fix (1 line)

This review assessed only the proposed changes (diff). Residual references in unchanged portions of the files are noted for awareness but not scored against this PR.

Connects the FAQ answers to the plan types (Collect, Control, Free)
listed in the intro, and removes the "Group Workspace" reference to
match the simplified language used throughout the page.

I think we need to create a new help page for this one. We're changing Personal Karma to only be downgraded via New Expensify. Users will be able do enable/disable in Settings > Save the World > Personal Karma. That's being implemented here: https://github.com/Expensify/Expensify/issues/601130

Then we'll want to link that help page here.

Created a new help page at docs/articles/new-expensify/settings/Personal-Karma.md documenting the New Expensify path (Settings > Save the World > Personal Karma) for enabling/disabling Personal Karma.

Updated the classic article's "Setting Up Personal Karma Donations" section to link to the new page instead of showing the old workspace setup instructions.

Done — the classic article now links to the new help page at articles/new-expensify/settings/Personal-Karma.

Create a new help page for Personal Karma under New Expensify settings,
documenting the new Settings > Save the World > Personal Karma path.
Update the classic article to link to the new page instead of showing
the old workspace setup instructions.

@stephanieelliott I think this is ready to go!

Setting a default workspace ensures that new expenses and reports are automatically assigned to the correct workspace, reducing the chance of submitting expenses under the wrong account. This is especially useful if you frequently switch between multiple workspaces.

1. Hover over **Settings** and click **Workspaces**.
2. Click the **Group** tab on the left.

Thanks @garrettmknight! Looking good - I requested a few changes, we were still referencing Group in a lot of the navigation paths. Also, I went ahead and updated the new article directly.
