People
This page is visible to all roles but only editable by Managers and Superusers. Developers can see information about themselves but cannot edit it.
The people page is used to manage the following data associated with a person:
- Meta data such as name, post FTE etc.
- Availability for project work and details of their workload model.
- Skills tags.
- Absences.
You can add an RSE through the Add button at the top of the page. The FTE value of the RSE represents the post FTE. If someone is part-time then this is captured as an Availability Change (see below). End dates only need to be completed when a person is scheduled to leave the department i.e. if they are on a fixed term contract or they resign. They must have unique initials in the Initials field. This can be edited manually if the suggested initials are already in use.

"Availability" in CapX is the availability of an individual to do project work ("billable work"). If, via their agree workload model, a person has a portion of their time reserved for non-project activity such as Personal Development, or they are part-time, this is captured in the form of an "Availability Change". This establishes a new maximum availability for project work with respect to the theoretical maximum of 1.0 FTE over the period specified. Availability changes can be added by editing a person and then editing their "Availability Changes". You can add an explanation for this reduction in the data grid, ideally recording their full workload model details. This description forms part of the resource usage report so it is important that is accurately reflects the reasons for changes in billable capacity.

Absences (sickness or holidays) can also be recorded against a person in CapX. To add an absence, edit the person, then edit the "Absence" entries. The end date of an absence can be left blank if unknown i.e. if a person is off sick and the date of their return is unknown. Only one entry can be left open-ended at a time. When an absence record is saved, email notifications will be sent to all managers notifying them of the absence using the email address recorded in the access control database. The email will also highlight any projects that the manager owns that may be affected by the absence.

Skill tags may be added to an individual by editing the entries in the "Skill Tags" list. Simply search in the box for an existing tag and select it to add it to the list. When saving the person, these skills tags will be updated in the database. If you can't find the tag you are looking for then managers and superusers can manage the available tag list by heading to the "Skill Tags" page from the sidebar.
As of v1.11.2, CapX supports the generation of workload model analysis from Innate timesheet reports. Head to the "Workload Model Analysis" page and upload an appropriately formatted, tab-separated report from Innate. The stock Innate report contains a bunch of text at the top, don't worry, CapX will ignore this and will just look for the first row that starts with "Resource". An acceptable format is as shown below:
The name in the resource column must match the name of the person in CapX and might need changing. The Excel sheet needs to also be saved as a "tab delimited" format for it to be read by CapX. The resulting graph is generated by looking up the workload models of the person in the Capx database and comparing those targets to the person's timesheet data supplied in the Innate report. If you want to see the raw timesheet data on the graph you can flip the switch in the top right of the page.
From v1.11.6 the competencies framework and grid assessment has moved into CapX. The original assessment was done in an Excel sheet and CapX supports the upload of this grid to auto-migrate existing assessments. The grid needs to first be saved as a Tab-delimited file then the characters need replacing with pipes and the document saving. This modified tab-separated file can then be used as a valid upload via the button at the top of the page. This video demonstrates the preparation process and a successful upload.
