Share a read-only link to your plan

Plan4Projects can now publish a read-only view of any plan as a link you can send to anyone — they open it in their browser and see a live, read-only copy (Gantt, Timeline, Calendar and Dashboard), no app required.

File → "Share read-only view…" creates the link. The whole plan is packed into the link itself, so there's no account, no upload, and nothing to set up — it's a snapshot of the plan as it is right now.

Also in this release

  • The AI assistant now keeps your Apple Calendar & Reminders in step when it renames a project (previously only the manual rename did).
  • Minor polish and fixes.

Plan4Projects 0.3.1 — Build your plan right on the calendar

The Calendar view is now a full planner — not just somewhere to look at your schedule, but somewhere to build it.

Plan on the calendar

  • Drag across days to create a task spanning that range.
  • Drag a task to move its dates, or drag its right edge to make it longer or shorter.
  • Click a task to rename it, change its duration or % complete, mark it a milestone, or delete it — all without leaving the calendar.
  • The quick + on any day still adds a task.

Tasks show as bars spanning their days, stacked neatly when they overlap — and every change flows straight to the Gantt and the rest of the app. It’s all one plan.

Apple Calendar now works both ways

Add an event to your “Plan4Projects · …” calendar in Apple Calendar (on your Mac or iPhone) and it comes back as a task in your project — alongside the two-way reminders already there.

Fixes

  • Un-ticking Milestone now correctly turns a task back into a normal task.

Plan4Projects 0.3.0 — Apple Calendar & Reminders sync

Your plan now lives on all your Apple devices.

Sync to Apple Calendar & Reminders

Open the Calendar view and connect Apple Calendar and Reminders. Plan4Projects then keeps a dedicated “Plan4Projects · <your project>” calendar and reminders list in step with your plan:

  • Calendar — every task becomes an event spanning its dates; milestones show as single days.
  • Reminders — every task becomes a to-do due on its finish date.
  • It all syncs to your iPhone, iPad and other Macs through iCloud, automatically.

Two-way and automatic

  • Automatic — changes to your plan flow to Calendar and Reminders within seconds, with no button to press.
  • Two-way — tick a task off in Reminders (on your Mac or your phone) and it’s marked complete back in Plan4Projects.

Everything stays in its own dedicated calendar and list, so your existing calendars are untouched — and deleting or renaming a project tidies up after itself. There’s no Plan4Projects server; it all goes through your own iCloud.

The AI assistant can now manage your whole plan

The built-in assistant went from drafting plans to running them end to end. Ask it to:

  • Manage working calendars — create a night-shift or weekend-crew calendar, set which weekdays are working, mark site closures or extra working days, and put a resource on its own calendar.
  • Add recurring work — “a fortnightly patrol for the next three months” becomes a dated series of tasks.
  • Handle baselines — save, switch between, and clear baselines (primary plus numbered slots).
  • Edit and tidy resources — change a rate, remove a resource, or take someone off a single task.
  • Rename the project or move its start date — the whole programme reschedules around it.
  • Export to Microsoft Project — “export this for the client” opens the save dialog for a Project XML file.

Bring your own Anthropic key, as before — it stays in your Mac’s Keychain and never touches a server.

  • Printing & "Save as PDF" now work. The packaged app's webview was ignoring the print command, so File ▾ → Print / Save as PDF… did nothing. It now opens the native macOS print panel — print, or choose Save as PDF.

✨ The AI update

Plan4Projects now has a built-in AI assistant that reads and edits your live plan — and it stays free, with no accounts and no server.

Ask AI

Open ✨ Ask AI and ask it to draft a whole programme, push tasks around, link or level work, set a baseline, or answer questions like "what's on the critical path?" — the Gantt updates as it works.

  • Attach a quote. Drop a supplier quote (PDF), a scan/image, or a CSV onto 📎 and ask the AI to turn it into a phased programme — scope, durations, dependencies and costs.
  • Streaming. Replies type out live and tool calls light up as they happen (toggle off in settings if you'd rather they arrive all at once).
  • Pick your model. Opus, Sonnet or Haiku, to balance quality and cost.

Bring your own key

The AI uses your own Anthropic API key — there's no Plan4Projects subscription. Add it in Ask AI → ⚙ → "Get a key". Your key is stored only on your Mac (in the Keychain) and used to call Anthropic directly, typically a few pennies per request. Everything else in the app works with no key at all.

Polish & fixes

  • All confirmation and naming dialogs are now in-app — more reliable than the old native pop-ups.
  • ⌘K opens Ask AI; friendlier loading and error screens.
  • Fixed toolbar menus (like View) running off the edge of the window.

  • Fixed: newly added tasks couldn't be edited. A task added to a saved or reloaded project was getting no ID, which made it impossible to select or edit. New tasks now always get a proper unique ID — and any tasks previously saved without one are repaired automatically when the project loads.
  • Single instance. Launching a second copy now just focuses the window that's already open, instead of starting another app.

  • Set a finish date to set the duration — editing a task's Finish date now recalculates its duration to span Start → Finish (in working days), instead of just pinning the finish.
  • Checks for updates on launch — a quiet nudge appears when a newer version is available; install it any time from Tools ▾ → Check for updates.
  • "Buy me a coffee" lets you choose the amount — the tip button no longer pre-fills £5.
  • More robust saving — projects now save atomically (a failed or interrupted save can never corrupt or empty a project file), corrupt/empty workspace files are skipped on load, and a task-selection sync glitch was fixed.
