Form not found

When someone tries to complete one of our forms, they get the following error.

Hi @apesorguk, thanks for the report. To narrow this down, could you share a few details:

1. Storage type of the form file — where is the .fvform file stored? Personal home folder, a group/team folder, an external storage mount (SMB/SFTP/S3/local mount), or somewhere else?
2. Are the affected respondents logged in or anonymous when they hit the form?
3. Storage row — if you have shell access to the server, the output of:

   sudo -u www-data php occ files:scan --shallow --path="<path-to-fvform-file>"
   

   and

   sudo mysql nextcloud -e "SELECT s.id FROM oc_filecache fc JOIN oc_storages s ON fc.storage = s.numeric_id WHERE fc.fileid = <fileId>;"
   

   would help us see which storage backend the file lives on.

The "Form not found" toast comes from FormService::getFileByIdPublic(), which has three code paths (home folder, group/team folder, external storage). Knowing which path is being hit (or skipped) will let us pinpoint the bug. Thanks!

It's ok, I found the issue, once I saw the question, where is it stored? I have the form stored in the HR Department, which not everyone has access to. I shared the form with everyone, and it seems to have sorted the problem.

One thing I will say is I do not remember when creating it, any information on needing to be shared. So maybe turn this from a bug to a feature that,

1. Along with the process of creating a form, you add a sharing step to allow users to share the form when located in a restricted area. Like when creating a chat group, it asks for users and groups to add to the group, it should be the same with forms, especially if permissions are required for a user group to complete a restricted form to nextcloud logged in users.

2. Also, maybe on the share window where you set up the sharing of the form and get the QR or Link, another section for sharing forms to groups when in a team folder or group folder.

Quick update @apesorguk — I tried to reproduce this on our test setup with a Group Folder shared only with one group, and a public share link works fine for users outside that group. So this isn't a generic Group Folders bug; your environment has something specific going on.

Could you share:

1. Nextcloud version and FormVox version (you mentioned 1.1.4 — 1.2.0 is being released shortly with several fixes and improvements, happy to recommend you upgrade once it's out)
2. What's your primary storage backend? Local disk, or object storage like S3 / Swift / MinIO? (Settings → Administration → System info, or occ config:list system | grep objectstore)
3. Group Folders app version
4. From the server log (data/nextcloud.log or System log in admin UI), can you grep for entries around the time a respondent hit "Form not found"? Look for OCA\FormVox or Form not found. The stack trace tells us which of the three lookup paths failed.

The "share with everyone" workaround sidesteps the bug by making the file visible via the standard NC permission system, but that's not how it should work — public links should bypass that entirely.
