Subscribing to Columinity and managing the subscription
This step-by-step guide explains how to subscribe to Columinity with your team or organization and how to manage your subscription.
- Teams on our "Free"-plan and wish to upgrade to unlock paid features.
- Organizations that want to introduce Columinity to support their teams.
- Users already on a paid plan ("Professional" or "Enterprise").
Columinity offers several plans to teams and organizations. All plans are volume-based for the number of teams you want to support, so you pay a fee per team licensed:
- The "Free"-plan is limited to one team. A team can run scans with Columinity and receive Team Reports. However, the Team Report limits some features, such as the number of tips (only 3), benchmarks, scoring ranges, and facilitation guides. The "Free"-plan does not come with the Teams Dashboard nor the Coaching Center.
- The "Professional"-plan is helpful for organizations that want to support teams through Columinity. It enables the Teams Dashboard, which allows organizations to manage, analyze, and organize their teams from a single dashboard. This is a great way to identify impediments, overcome issues, and track improvements. The Teams Dashboard is suitable for up to 50 teams. Beyond that, the "Enterprise"-plan is recommended for managing large volumes of teams.
- The "Enterprise"-plan is helpful for enterprise-level organizations that want to support many teams through Columinity or for consulting agencies that use Columinity with multiple clients. This plan enables the Coaching Center, which allows the creation of various Teams Dashboards, each with its own set of teams. Analyses can be performed across organizations to identify impediments and consulting/coaching opportunities. Your company brand (logo, name, two colors, custom domains) can also be applied to the Coaching Center and Teams Dashboards.

- Go to https://subscriptions.columinity.com.
- Enter the number of teams you want to license (you can adjust up or down at any time).
- Choose the plan duration. Yearly plans are cheaper but offer less flexibility because we don't refund the time left on your plan if you cancel before the end.
- Choose the plan and click "Join plan".
- You can also view a demo environment by clicking "Try demo".
- The "Free" plan immediately initiates setting up a new team. Follow this guide to do so.
- The "Professional"- and "Enterprise"-plans take you to the sign-up flow to set up your account and payment. The guide below assumes you picked one of both.

In the next step, provide information about the company to which the license will be issued.
- Enter contact information
- For the field "Email", ensure you enter the address of the person who will administer the Columinity environment. You can provide a different address for invoices further down.
- Choose the payment method
- Credit cards or SEPA are the most convenient as we can automatically withdraw for the new period.
- Payment by invoice is helpful for larger organizations. The invoice must be paid within 30 days to continue using Columinity. If you choose this option, you won't need to pay in the next step and the subscription will be created upon confirmation.
- If you are a European company, provide a valid VAT number. This removes 21% VAT from the invoice, which you are responsible for paying to your regional tax agency.
- Provide a payment reference, like a PO number, to be added to each invoice. Some organizations require this to link invoices to internal budgets.
- Accept the relevant terms of use.
- Click "Next" when you are ready. You can go back later if you need to change fields.

If you choose to pay by credit card or SEPA, you must now provide the payment details.
- Enter payment details. We do not store your payment details; Stripe handles all this securely for us.
- Click "Let's go" when you're ready
- Your payment method will now be charged. If all goes well, you will be redirected to a confirmation page.
- Upon completion of the subscription, you should receive two emails at the administrative email you provided:
- The first email details your plan and how to get started.
- The second email contains a link to set up your administrative account.

You can change your subscription anytime. There are two ways to do this:
- Log in to your Teams Dashboard or Coaching Center (whichever is applicable) and click "My Settings". Then, choose "Manage subscription". You are redirected to the customer portal, where you can modify your subscription. If you don't see the option to manage your subscription, it may be because you are not an administrator in your environment or another party manages your Teams Dashboard.
- Go to https://subscriptions.columinity.com and click "Manage subscription". You can enter the email address where you receive the invoices, and we will send a secure login link to that address to access the customer portal.
Cancellations take effect at the end of your current period. So, if you cancel, you can continue using Columinity for the remainder of the period (month or year). We don't refund the remaining time. If you add or remove teams, the changes take effect immediately. If you add teams, you will receive an invoice for the difference in the current period. If you remove teams, any remaining time for those teams will go to your balance and be subtracted from future invoices.
If you acquired a "Professional"-plan, you will be greeted with an empty Teams Dashboard.
If you acquired an "Enterprise"-plan, you will be greeted with an empty Coaching Center.
