Privacy Policy

INVFED Computational Assistant and Recruitment Utility System (henceforth referred to as "ICARUS" or "the Bot") is a Discord Bot made by user Turtle-12 (henceforth; "the Author") and used primarily by Star Citizen Organization Invictus Intergalactic Federation (henceforth referred to as "the Org" or "INVFED") for assisting with recruitment, optimization, and long term logging and data organization. You, "the User," agree to this Privacy Policy (henceforth, "the Policy") by using the Bot, continued use of the Bot equates to consent of the Policy.

Personal Data Collection

INVFED and the Author do not collect any Personal Information. "User Personal Information" is any information about one of our Users which could, alone or together with other information, personally identify them or otherwise be reasonably linked or connected with them. Information such as an email address, a real name, an Internet protocol (IP) address, or a photograph are examples of “User Personal Information.”

User Personal Information does not include aggregated, non-personally identifying information that does not identify a User or cannot otherwise be reasonably linked or connected with them. We may use such aggregated, non-personally identifying information for research purposes and to operate, analyze, improve, and optimize our Website and Service.

The only forms of arguably Personal Data that the Bot collects for INVFED is whether or not the User is over the age of 18 and their time zone. We do not collect birthdate, nor real age. Simply a yes or no if the User is over 18 years old. For time zone, we simply ask for the time zone, not specific location of the User. We do not collect any Sensitive Personal Information.

Non-Personal Data Collection

ICARUS, during an orientation with a User, will collect non-personal data from the User. This currently includes: Discord Username, Discord ID, and RSI Username. Discord and RSI name can be changed easily, whereas the Discord ID is persistent and immutable.

Data Collection Use Cases

We need these pieces of information in order to better serve the User within the Org. INVFED uses age to maintain maturity within the Org. Time zone is used to determine when the Org should be most active an help the Org predict its User's activity times. The Org is a worldwide community and needs this information in order to understand trends of activity within itself. RSI information is used and collected in order to verify the User's game account and organization affiliations. Discord information is used to keep track of the User within the INVFED Discord server. It also allows the Org and the Author to link the User's Discord with their RSI in-game account for Org member organization.

Data Storage and Management

All data collected is stored securely and safely by the Org. It is only accessible by particular members within the Org, and is not publicly available to those within the Org's Discord server. Read access to the data is held by select "Orientation" member within the Org's Discord server. Admin access is held by even fewer people, exclusively INVFED command members and the Author.

Data Breach Procedure

In the case of a data breach, if any sensitive data is determined to have been leaked, INVFED and the Author will attempt to contact and notify the User's affected and let them know what, when, and where the data has been breached, if that information is available. The possibility of Sensitive Personal Information being leaked, however, is very low, as all information standardly collected is not considered to be Sensitive Personal Information. If any information, even inadvertently, leads back to the User's Sensitive Personal Information, and INVFED and the Author become aware of this, said data will be wiped. If there is a breach and said data has not been wiped yet, that would be the only possible scenario for when the User would need to be notified.

Law Enforcement Disclosure

The Org and the Author will disclose any information we collect, use or receive if required or permitted by law, such as to comply with a subpoena, or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

Links to Sites

The Bot can contain links to Sites not owned or controlled by the Org or the Author. If the User is linked to any Sites by the Bot, intentionally or otherwise, please be aware that the Org and the Bot ad the Author are not responsible for the Terms of Service and Privacy Policy of these Sites. It is the User's responsibility to understand the Terms of Service and Privacy Policy of each site.

Amendments

Any updates to this Privacy Policy will be posted here, noted by the "Last Updated" date at the top of the page. Continued use of the Bot after such changes will result in your consent to the amendments of the Policy.

Acceptance of the Policy

You acknowledge that you have read this Policy and agree to all its terms and conditions, as the User. By using the Bot and the Org Discord server, you agree to be bound by this Policy. If you do not agree to abide by the terms of this Policy, you are not authorized to use or access the Bot.
