How to utilize KnowledgeLake for e-transfers

Getting to KnowledgeLake E-Transfer Form

KnowledgeLake is a new transfer process started on September 1st, 2026, for whenever you move locations of cages, whether that is between rooms on the ninth floor or from the basement to the ninth floor. We are supposed to submit a form on KnowledgeLake and get approval prior to moving the cage.

In order to get a to KnowledgeLake, You will have to log in into your WUSTL account and go to https://one.washu.edu/ .

In the search bar above, type in either "e-transfer" or "KnowledgeLake."

A login to KnowledgeLake will look like the image below. The dropdown menu has a few options; however, select Azure AD, and it will take you to your WUSTL login.

Once logged into KnowledgeLake, under the "Triggers" tab, there will be a form for you to fill out that looks like the image below. Screenshot 2026-09-04 084008

Filling Out the Transfer Form

Transfer Within the Same PI

When submitting within the same PI, the process is fairly straightforward. Fill in all of the highlighted titles here. This will include:

  • PI Name (so Creed or Kravitz)
  • PI Designee Email (which will be your email: the person submitting the form)
  • Department
  • Original Protocol (for this current cycle, it is 24-0211 for Creed, or 25-0045 for Kravitz)
  • Contact person for Confirmation and contact email (insert Adrian Velez and veleza@wustl.edu for these. Adrian will recieve a confirmation email that is pooled into a folder. These email will be forwarded to the Kreed lab mice email to send into the mice slack channel)
  • Is a new PI required
  • PI will move

For this instance where you are transfering within the same PI, you will select "NO" for the "Is a New PI required?" segment. If you plan on moving the cage yourself, say "YES" to the "PI will move" segment.

Note that the "Include as CC" section only allows WUSTL emails to recieve these emails.

Transfering to a new PI

When you transfer to a new PI, you will have to mark yes under the "is a New PI required" segment. This will open up an additional form to the right of the transfer form to fill out:

  • New PI Name
  • New PI Designee Email (PI or Lab Manager's email)
  • Department
  • New Protocol # (if you do not know this information, that is okay)

After you complete the normal form, the new PI will recieve an email with a task from KnowledgeLake. They will need to confirm the transfer as well. Make sure to follow up with the PI that you are transfering to ensure that they filled out that form.

Filling out the Animals to be Transferred Section

When filling out the rest of the form, you will need to fill out the following highlighted spaces:

  • Species
  • Strain
  • Quantity - Animals
  • Quantity - Cages
  • Sex
  • Effective Transfer Date
  • Have Animals Been Used in Research Other Than Breeding?
  • Will These Animals be Used for Breeding?
  • Housing
  • Barcode Values

For both of the Quantity sections, you can include the total amount of animals and cages that you are transfering. You do not need to submit multiple forms for the same mouse strains. If you are planning on transfering multiple cages with different strains, we recommend making different transfer forms per strain moved.

If the animals have been used in research other than breeding, there will be a space to insert your comments on what experiments you have done. You mainly would need to do this if your cages are going between the rooms in the 9th floor.

With regards to housing, if you plan on transfering multiple cages from room to different rooms (for example, you are moving two cages from the basement where one cage is going into 9213 and the other is going to 9234), you will need to submit different transfer forms for each cage.

Barcode will need to be put under the "Barcode Values" section of the form. you will not need to upload a barcode file. Do not put the Barcode under the ID number section of the form.

Once you are done with the form, you can press complete.

Checking the Status of Your Transfer

In order to check the status of your transfer, you will need to go to "Focused Inbox," which is under the tab "Tasks" on the top left menu. You will see all of your transfers that you have done and if they have been approved. You will also recieve a confirmation email of the transfer form into your WUSTL email. They will update you about the confirmed transfer, if the cage has been moved by DCM, and if you need to change anything from the transfer form if there is a problem with your original transfer.

If you have any question, the eTransfer website (https://research.washu.edu/etransfer/) has a lot of answers to common problems that arise. The ServiceNow Tickets through IT have been helpful in the past regarding issues you might encounter that is not found on the etransfer website. Also, make sure to check your web browser extensions like Honey, which will prevent you from logging into your KnowledgeLake account.

DCM is still trying to figure this system out alongside us, so try your best to be patient with the process as it is new.
