Email & alerts

PhotoDock can email admins when something needs attention (a device drops off, storage runs low, a firmware update is available, …) and uses email for 2FA codes, invites and password resets.

All email config is under Settings → Email.

1. Choose a sending method

Method Use when
SMTP Any mail provider (Gmail, Outlook, your own server). Enter host, port (587 STARTTLS / 465 TLS), username, password, From. For Gmail use an App Password.
Microsoft Graph API Microsoft 365 / Exchange Online. Enter Tenant ID, Client ID, Client secret, sender mailbox. The app registration needs the Mail.Send application permission.

Use Send test email to verify.

2. Alerts & delivery

In Settings → Email → Alerts & delivery:

  • Public dashboard URL — used for the links/buttons inside alert emails (shared with cloud setup and device URLs).
  • Email alerts — master on/off switch.
  • Email appearance — light or dark email design.
  • Which alerts — turn each type on/off individually, with a Preview link to see exactly what each email looks like:
    • Device offline / back online
    • Device paired
    • Low battery
    • Firmware update available
    • Storage almost full

Alerts are sent to all admin accounts that have an email address.

3. Inactivity notifications

Optionally email admins when a user or API key hasn't been active for N days (0 = off). Sent at most once per day per item.

How the monitors work

A background check runs periodically and emails on state changes:

  • offline / back‑online — detected from each device's last‑seen time vs its report interval (devices in their scheduled sleep window are ignored).
  • firmware — when a device's build differs from the server's current build.
  • storage — when server disk usage crosses ~90% (re‑arms below 80%).
  • low battery / paired — sent from the device status + pairing flows.

Email also powers email‑based 2FA, user invites and forgot‑password — see Users, roles & security.
