New Staff Startup

Welcome new OPEnS Lab staff member! We are excited to have you join our team. Follow these steps to be fully integrated as a lab employee.

Step 1: Become an Employee

Before we can get you in the lab and working on a project, you need to become an OSU employee. You should receive an email from Dr. Chet Udell that will connect you with Jennifer Cohen (Administrative Manager for BEE) who will send your information to OSU's HR. You will then receive correspondence from HR to get hired. It could take up to a week for them to send you an email.

DO NOT move on to step 2 until you have completed this step. You cannot start work until the date HR specifies you are cleared to work.

Here are several resources regarding your employment:

Step 2: Safety information/Training

Only begin this step on or after your start date. Note that time spent on safety training should be logged as working hours.

  1. Sign in to SciShield and complete the trainings listed for you.

  2. Please read through the OPEnS Lab Safety Page and take this Written Knowledge Survey about it. If you do not get 100% on your first try, re-take the survey until you do.

  3. Complete the trainings in the safety acknowledgement form. Ann will send you this form via DocuSign for initials and signatures.

  4. Contact Chet at udellc@oregonstate.edu when you have completed all the trainings and need to be walked through the emergency procedures specific to the OPEnS Lab to finish the safety acknowledgement form.

  5. Note that all 3D printing and laser cutting must be scheduled and usage reported through our website. Please schedule an orientation with Gurpreet Singh prior to 3D printing in the lab. A laser practical with senior staff is required prior to laser cutting.

  6. Lastly, orient yourself with our specific Shop Safety Rules.

Step 3: Get Oriented with OPEnS

  • After you are hired and have completed all of your safety training, send Ann a message at gaidosma@oregonstate.edu to get physical access to the lab via your OSU ID.

  • Take a peek at the project wiki pages to familiarize yourself with all the projects being worked on at the lab.

  • Put full lab meetings, team meetings, and individual project meetings on your calendar. Note that these meetings are mandatory, but exceptions are made for class/schedule conflicts.

  • Accept invitations/sign up for accounts for OPEnS resources: Fusion 360, Github, Basecamp

  • Send Ann a photo of yourself, a quick blurb about yourself, and a media release form so we can add you to our staff page. Alternatively, let Ann know that you would prefer a photo related to your project, and/or just your major for the blurb.

Setting Up a New Project

If you are setting up a new project at the lab as you are joining, you will also use this time to kick off your project documentation and set up a work space in the lab. Follow these steps:

  • Work with Chet to find a space in the lab for you to work and store materials for your project.
  • Set up a Basecamp project and add all your team members and necessary lab admins to it.
  • Add a folder for your project in the OPEnS Shared Google Drive here.
  • Refer to our Project Progression page for a list of deliverables and resources for completing your project.
