The PDF export feature allows report authors and viewers to export the entire Gantt chart—including the data grid and the full timeline—into a single-page PDF document that matches your on-screen visual styling.

How to Export Your Gantt Chart to PDF

Step 1: Enable PDF export in formatting settings

Select the Gantt visual and open the Format pane. Expand the Toolbar card and toggle the PDF export switch to On.

The Toolbar card — turn PDF export On to show the button.

Step 2: Trigger the export from the toolbar

Click the PDF export button on the top-left toolbar of the Gantt chart. Power BI will generate and download the PDF file (named GanttChart_YYYY-MM-DD.pdf).

The toolbar with the PDF export button next to the collapse / expand and zoom buttons.

Key Benefits

  • Single-Page Fit: The export automatically sizes the PDF page to fit the entire chart. It will not split your Gantt chart across multiple pages.
  • Exports All Rows: Every row in your project is exported, including those currently scrolled out of view.
  • Timeline Preservation: The PDF maintains the exact Year / Month / Week / Day scale active on your screen.
  • Maintains Styling: The export preserves your custom bar colors, milestone shapes, grid formatting, and markers (such as days-off, today line, and baselines).

Tips and Limitations

  • Optimizing Wide Timelines: For very wide timelines, click Zoom To Fit on the toolbar before exporting. This ensures the timeline scale is readable when fitted onto a single page.
  • Export Size Limit: The visual limits exports to 30 MB. If your export is blocked, apply data filters or zoom out on the timeline before exporting.
  • Special Characters Support: Only standard Latin characters are supported. Emoji and custom symbols may be omitted or replaced with plain text.
