What is Requirement Analysis?

Requirement Analysis is the foundational phase in the Software Development Life Cycle (SDLC) where the needs, expectations, and constraints of stakeholders are identified, documented, and analyzed to define what the software system must achieve. It acts as the blueprint for the entire development process, ensuring that the final product aligns with business goals and user expectations.

This process involves:

Why is Requirement Analysis Important?

Requirement Analysis is not just a step — it’s the cornerstone of successful software development. Here's why:

Requirement Documentation

For the Booking Management System, examples include:

  • The system must allow booking creation, modification, and cancellation.
  • Registered users should be able to view their booking history.
  • Admins should have access to a dashboard to add or remove property listings.
  • The system should send automated email confirmations after a successful booking.

⚙️ Non-functional Requirements

Non-functional requirements focus on how the system performs its tasks, like performance, security, and usability.

For the Booking Management System, examples include:

  • The system should be accessible across desktop and mobile devices (responsive design).
  • The application should process user search queries in under 2 seconds.
  • All user data must be stored securely, complying with data protection regulations.
  • The website should maintain 99.9% uptime, ensuring high availability.
  • The system must support multiple languages, including English and French.

📊 Use Case Diagrams

Use Case Diagrams provide a visual representation of the interactions between users (actors) and the system (use cases). They help communicate functional requirements in a clear and structured way, making it easy for developers and stakeholders to understand system behavior at a glance.

🧩 Types of Requirements

In software engineering, requirements are generally categorized into two major types: Functional Requirements and Non-functional Requirements. Both are crucial to building a reliable and user-centric system.


✅ Functional Requirements

These describe the specific features and behaviors the system should exhibit. They define what the system is supposed to do — the core capabilities that support user needs and business processes.

Examples for the Booking Management System:

  • Users must be able to search available rooms using filters like dates, room types, and locations.
  • The system must allow users to create, modify, or cancel bookings.
  • Users should be able to register, log in, and recover passwords securely.
  • The system must send a booking confirmation email immediately after a successful reservation.
  • Admins should be able to add, edit, or delete listings for rooms and properties.

⚙️ Non-functional Requirements

These refer to the qualities and constraints of the system. They describe how the system operates rather than what it does — such as performance, usability, and reliability.

Examples for the Booking Management System:

  • The website must maintain 99.9% uptime to ensure booking availability at all times.
  • The platform should load the booking search page in under 2 seconds.
  • All sensitive data must be encrypted in transit and at rest, complying with data protection laws.
  • The interface must be responsive, supporting various devices including smartphones and tablets.
  • The application should support multi-language capabilities, including English and French.

✅ Acceptance Criteria

Acceptance Criteria are the specific, measurable conditions that a software feature must meet to be considered complete and acceptable by stakeholders. They define the boundaries of a user story or requirement and ensure that the delivered functionality aligns with business goals and user expectations.

  • User-Centric Focus: They ensure that development stays aligned with real user needs and scenarios.

🧾 Example: Checkout Feature – Booking Management System

Stanley's Story:
As a registered user, I want to complete a room booking and make payment so that I can confirm my reservation.

Acceptance Criteria:

  • ✅ The user must be logged in to access the checkout page.
  • ✅ The checkout page must display a summary of the selected room, dates, and total cost.
  • ✅ The user must be able to enter or select a saved payment method.
  • ✅ The system must validate payment details before processing.
  • ✅ Upon successful payment, the system must:
    • Generate a unique booking reference number.
    • Send a confirmation email to the user.
    • Update room availability in the system.
  • ✅ If payment fails, the user should receive a clear error message and be prompted to retry.
