The DBA Team will need to keep a record of a large number of passwords as part of their normal work. They should make sure they have a secure place to store these passwords.

There are a number of free and commercial products that can provide a secure password store, and the DBA Team should use whatever method is recommended at their site.

One of the simplest methods is to use the built-in encryption features in Microsoft Word, by specifying a password for the Encrypt Document option. For some older versions of Word the Read Password option is be used instead.

After the document is encrypted, the password for the document can be shared across all of the DBA Team. If someone leaves the DBA Team, it is a simple process to re-encrypt the password document with a new password.
