Importing Vendor Catalogs

CORE has some functionality that expects vendor catalog information to be available. While this information can be entered and updated one item at a time, for larger vendors who can provide a spreadsheet of item information importing that data all at once can offer a substantial time savings.

To upload a vendor catalog, go to Vendor Pricing in the Sales Batch menu and choose Upload Price Sheet. You can select any vendor for use with the default import tool or use one of the custom, vendor-specific import tools. The latter are specialized to handle a more specific spreadsheet format where as the default tool allows any data in any column. For best results, saving the spreadsheet as CSV is recommended. With very large files, you may need to zip them first to get around server size limits. Your administrator may be able to adjust these limits.

After selecting a file, you will see a preview with the first five rows of the speadsheet. At the top of each column is a dropdown box. Use these dropdown boxes to indicate what type of data each column contains. For example, if the 2nd column contains descriptions change the 2nd column's dropdown to Description.

The minimum required fields for import are:

  • SKU (the vendor's item number or other identifier)
  • UPC
  • Description
  • Unit Cost (Reg) or Case Cost (Reg) and Case Qty

Optionally there are also fields for

  • Brand (if omitted, brand is entered as the vendor's name)
  • Unit Size (if omitted, blank)
  • Unit Cost (Sale) or Case Cost (Sale) (if omitted, zero)
  • Vendor Department (if omitted, one)

Use either unit costs or case costs but not both. The (Sale) columns are for temporary price reductions where as the (Reg) columns are for the vendor's normal pricing. Many vendors will only have regular pricing. UPCs may include spaces and dashes. If UPCs include check digits, be sure to indicate whether or not they should be removed.

Step 3

When the columns have been specified, proceed with the import. Importing very large catalogs may take several minutes.
