How to Send an Email to All Users

This guide explains how an admin can send an email message to all active users on the AVideo site.

Before You Start

  • You must be logged in as an admin.
  • The site email system must already be configured.
  • If users do not receive emails, ask the technical person responsible for the site to check the SMTP/email settings.
  • Always send a test email to yourself first.

Quick Steps

  1. Log in to the site as an admin.
  2. Open the admin panel.
  3. In the admin menu, find Miscellaneous.
  4. Click Email All Users.
  5. Write your message.
  6. Click Send Email.

Step-by-Step Instructions

1. Open the Admin Panel

After logging in as an admin, open the AVideo admin panel.


2. Open the Email Tool

In the admin panel menu:

  1. Find Miscellaneous.
  2. Click Email All Users.

3. Send a Test Email First

On the email page, you will see a field called:

Send only to this email

Use this field to test before sending the message to everyone.

To send a test:

  1. Enter your own email address.
  2. Write a short test message.
  3. Click Send Email.
  4. Check your inbox.

Important:

  • If this field has an email address, the message is sent only to that email.
  • To send the message to all users, this field must be empty.

4. Choose Who Will Receive the Email

In the Filter Users area, choose the audience.

Options may include:

  • All: sends the email to all active users.
  • A specific user group: sends the email only to active users in that group.

To send the email to everyone, keep All selected.


5. Write the Message

Use the text editor to write the email content.

You can use the editor to:

  • Add titles.
  • Highlight important information.
  • Add links.
  • Organize the message into paragraphs.

Before sending, check:

  • The message is clear.
  • The links are correct.
  • There are no typing mistakes.
  • The message is safe to send to the selected users.

6. Send the Email

Before clicking send:

  1. Make sure Send only to this email is empty if you want to send to all users.
  2. Make sure the correct user filter is selected.
  3. Click Send Email.
  4. Wait for the confirmation message.

When the process finishes, the system will show a success message with the number of emails sent.


Field Explanation

Field What It Means
Send only to this email Sends the email only to the address entered. Use this for testing. Leave it empty to send to all users or to the selected group.
Filter Users Chooses who will receive the email.
Message Editor The place where you write the email content.
Send Email Starts the email sending process.

Best Practices

  • Always send a test email to yourself first.
  • Keep the message short and clear.
  • Do not send passwords or private information by email.
  • Avoid sending many emails one after another.
  • If sending to a group, confirm the correct group is selected.
  • Review the message before sending.

Common Problems

I Cannot See “Email All Users”

Make sure you are logged in as an admin.

Regular users cannot access this page.


My Test Email Did Not Arrive

Check your spam or junk folder.

If the email is still missing, ask the technical person responsible for the site to check the email/SMTP settings.


I Sent a Test Email and Now I Want to Send to Everyone

  1. Remove your email from Send only to this email.
  2. Select All in Filter Users.
  3. Click Send Email again.

I Want to Send Only to One Group

  1. Leave Send only to this email empty.
  2. Select the correct group in Filter Users.
  3. Click Send Email.
