Converting Existing Files

Already have your products in another spreadsheet or in Shopify? This page shows two ways to convert them to the Selldone product import format: a column mapping for Shopify exports and a ready-made ChatGPT prompt for any other file.

From Shopify

The Shopify folder contains a guide and a sample file, Wholesale with tiered prices (.xlsx, .csv), that help you migrate products and use Selldone's tiered pricing.

Steps

  1. Export your products from Shopify: in the Shopify admin, go to Products, click Export and export All products as CSV for Excel.
  2. Open the exported file in Microsoft Excel or a compatible spreadsheet program.
  3. Map Shopify columns to Selldone columns with the table below. Rename or add columns as needed.
  4. Fill in additional fields: add missing Selldone columns and data for tiered pricing, limits and other Selldone-specific features.
  5. Save and import into Selldone: save the file, open your Selldone shop dashboard, go to Products and upload the file.

Column mapping

(Custom Field) Image Contain Image contain flag (TRUE or FALSE). Optional

Fields marked as (Custom Field) are not standard in Shopify exports and need to be added manually.

Formatting rules

  • JSON fields: make sure JSON data in the Extra column is properly formatted, for example {"length":10,"width":5,"height":2}.
  • Boolean fields: use TRUE or FALSE for fields like Image Contain.
  • Numeric fields: prices and quantities must be numbers.

Sample data row

Status SKU Title Quantity Type Price Currency Content Description Image Images Limit Min Limit Max Qty 1 Price 1 Qty 2 Price 2 Category Image Contain
Open PROD-001 Sample Product 500 PHYSICAL 10.00 USD High-quality sample item http://example.com/images/prod1.jpg http://example.com/images/prod1a.jpg, http://example.com/images/prod1b.jpg 1 1000 10 9.50 50 9.00 Electronics TRUE

In this example the product is published, 500 units are in stock, the order quantity is limited to 1–1000 units and tiered discounts start at 10 units.

The sample file

The sample Wholesale with tiered prices sheet has these columns: Publish, Status, SKU, Title, Ctn L, Ctn W, Ctn H, Ctn Qty, Quantity, Ctn Weight, Extra, Production Time, Lead Time, Type, Currency, Price, Limit Min, Limit Max, Price 1–6, Qty 1–6, Category, Content Description, Image, Picture 2–10, Images, Image Contain. In the sample row, the carton dimensions and weight are also written as JSON in Extra (for example {"weight":22.04,"width":12,"length":20,"height":12}) and the extra pictures are joined with commas in Images.

The full guide is in Products/Shopify/readme.md.

From any spreadsheet with ChatGPT

The ChatGPT folder contains a ready-to-use prompt. Attach your file in ChatGPT and paste the prompt to get the file converted to the Selldone import format.

The prompt asks ChatGPT to:

  1. Rename your column headers to the Selldone columns. It lists the required columns (Title, Type, Price, Currency, Status, Image) and all optional ones, and includes the full column reference.
  2. Modify data values to the expected formats: numeric prices without currency symbols, currency codes such as USD, Open/Close status, PHYSICAL type, TRUE/FALSE booleans, YYYY-MM-DD dates and valid JSON.
  3. Exclude unnecessary columns, such as Visits or Rate.
  4. Report missing required fields and suggest default values.

Example transformation from the prompt:

Product Name Price Stock SKU Description Image URL
Blue Office Chair $49.99 100 BOF-CHAIR Comfortable chair... http://example.com/image1.jpg

becomes

Title Type Price Currency Status Quantity SKU Content Description Image
Blue Office Chair PHYSICAL 49.99 USD Open 100 BOF-CHAIR Comfortable chair... http://example.com/image1.jpg

The prompt file also has a shorter version you can use when the full prompt is too long. Always review the converted data before you import it.
