EMLO Phase 3 planning
Kindly sent by Howard, an aide memoire and timetable for the sequence of events needed by the end of the month:
- Miranda to talk to Jane today (13/01): pay old invoice, arrange to pay new one, prepare to calculate surplus and to commit the work needed to spend down last year’s grant
- Anusha to submit new invoice a.s.a.p ('next few days'c. 18/01): to be paid by Jane on receipt (Sent on Jan 16)
- Jane to inform HH and ML about surplus left over after two invoices are paid (by Friday 20/01: Miranda, please advise her of this deadline)
- NJ, ML and HH to meet to discuss options for spending surplus (met on 23 Jan)
- NJ, ML and HH to meet with AR (met on 23 Jan).
- ML to report back to Jane about committing the remainder of the surplus before the end of the month (after meeting no. 5).

The first priority for the third phase of work (to be covered by funds committed to Cottage Labs from EMLO’s 2022 funding) will be to upgrade the public interface of EMLO. This will involve updating Python 2 to Python 3, and replacing Pylons, which is no longer supported.

This phase of work will include some changes to the search functionality in the public interface (outlined in the document provided by Miranda and Howard - EMLO_Public_Interface_toCottageLabs_2021.11.26

At their meeting, Anusha, Neil, and John will discuss the work to be done and allocate what is best done by Cottage Labs and what by John.

Once there is a clear idea of what needs doing by whom and a time scale, we will revisit the ‘wish list’ for enhancements to be made to EMLO-Edit (above and beyond the ‘replacing like for like’) to consider if any of this work can be done.
- Miranda and Howard are available to discuss any of the work at any point.

This third phase of the budgeted 2022 work is in addition to the completion of the development underway at present to upgrade the working editorial interface of EMLO (EMLO-Edit-NEW), which has been divided into two phases for the purposes of invoicing/payment.

Miranda will explain to Jane (History Faculty Finance Office) that the remaining funds in the strand budgeted for Cottage Labs work are to be ‘committed’ to Cottage Labs in the final account and the prose report submitted to PHI within 60 days of the end of the funding period.

Given the uncertainty about when Noel Malcolm and the PHI consider to be the end of the funding period (is it 31 December 2022 or 31 January 2023; PHI may believe the former; Oxford/History Faculty believe the latter), the aim is to produce and submit the financial/prose report by the end of February.
