Communication Plan

This document describes how our team communicates, coordinates, and keeps everyone in sync throughout the project.


1. Communication Channels

  • WhatsApp — Main Group (Daily Updates)

    • Primary channel for day-to-day communication across the whole team.
    • Chosen because it is easy to use and delivers fast, reliable notifications so nothing gets missed.
    • Whenever a team member makes a change on the codebase, they share what they did in the main group so everyone stays aware of progress and context.
    • Used for quick questions, status updates, and general coordination.
  • WhatsApp — Subgroup Channels

    • Separate group chats for each subgroup (Frontend, Backend, DevOps).
    • Mainly used for bugs, emergencies, and focused technical discussions within a subgroup.
    • Keeps noise out of the main group while still enabling fast subgroup coordination.

2. Meeting Schedule

Weekly Meeting

  • Saturday 12:00
  • Attended by the whole team.

Meeting Agenda

  1. Review the previous week — What was completed, what got blocked.
  2. Unblock prior blocking tasks — Blocking items from the previous week are assigned first so they do not carry over.
  3. Availability round — Each member explains how much time they have available for the upcoming week.
  4. Week planning — Based on availability and priorities, the team decides what can realistically be done and assigns tasks accordingly.
  5. Open discussion — Questions, risks, and any other topics.

3. Announcement & Documentation Flow

  • Day-to-day updates: WhatsApp main group (fast, notification-driven).
  • Subgroup-specific issues/emergencies: WhatsApp subgroup channels.
  • Formal planning & task assignment: Saturday weekly meeting.
