Handing Over Samples to the Lab

After collecting samples from patients, the courier must record the handover of those samples to the laboratory in the LIMS. This step is important for traceability — it confirms that the samples have left the courier's custody and are now in the lab's possession, ready for the standard reception and acceptance process.


When to Record the Handover

Record the handover at the moment you physically deliver the samples to the lab (or to the designated drop-off point at the collecting centre). Do not record the handover in advance.


How to Record the Handover

  1. On your mobile device, open the LIMS courier interface.
  2. Go to Collecting Centre > Courier > Hand Over Samples to Lab.
  3. The screen lists all samples that you have marked as collected but not yet handed over.
  4. Verify the list against the physical samples you are handing over.
  5. Select all samples being handed over now (or use Select All if handing over the full batch).
  6. Tap Record Handover.
  7. The system records your identity, the handover timestamp, and the receiving location.

What Happens at the Lab

Once the handover is recorded, the samples appear in the lab's sample reception queue. The lab technician then:

  1. Scans each container barcode.
  2. Accepts (or rejects) each sample using the standard sample reception workflow.
  3. The investigation status moves from Sample SentSample Accepted.

From this point, the courier's involvement is complete. The lab handles testing and reporting.


If You Cannot Access the System at Handover

If your device has no internet connection at the time of handover:

  1. Hand over the physical samples to the lab with a paper list (note the patient names, bill numbers, and barcodes).
  2. As soon as you have a connection, open the handover screen and record it retrospectively.
  3. Inform the lab supervisor so they can process the samples without waiting for the system to update.

Viewing Your Handover History

To see a record of past handovers:

  1. Go to Collecting Centre > Courier > View Statistics.
  2. Filter by date range.
  3. The system shows all collections and handovers with timestamps, patient names, and investigation names.
