Theatre Reports Overview
The Theatre module provides a suite of management reports for analysing surgical activity, OT utilisation, cost estimation, and doctor performance. Reports are accessible from Theatre Analytics in the Theatre menu and from the Management Reports section. All reports support printing, PDF export, and Excel download.
TheaterReports (for theatre analytics reports)
- Click Theatre in the main menu
- Click Theatre Analytics
- Select the specific report from the list
Or from the main Reports menu:
- Click Reports → Management Reports
- Find the theatre/surgery reports section
Purpose: Shows how many surgeries each doctor performed over a selected period, broken down by month.
Navigation: Theatre → Theatre Analytics → Surgery Count (Doctor Wise)
Filters:
- From Date / To Date
- Doctor Speciality (optional filter)
Report Output:
- Table: Doctor name, speciality, monthly columns (Jan–Dec), and total
- Subtotal rows per speciality group; grand total row at the bottom
- Colour coding: subtotals in grey, grand total in dark grey
Charts:
- Specialty-wise Line Chart and Bar Chart
- Doctor-wise Line Chart and Bar Chart
Export: Print, PDF, Excel
Use When: Monitoring individual surgeon workload, comparing volumes across specialities, or preparing monthly surgery statistics.
Purpose: Shows surgery volumes grouped by surgery type (Major, Minor, Emergency, Cath Lab, etc.) across months.
Navigation: Theatre → Theatre Analytics → Surgery Count (Type)
Filters:
- From Date / To Date
- Chart Type (Bar / Line)
Report Output:
- Table: Month rows, surgery type columns, totals
- Column grouping by year for multi-year ranges
- Footer showing column totals
Export: Print, PDF, Excel
Use When: Tracking case mix trends over time, reviewing whether the proportion of major vs. minor cases has changed.
Purpose: Shows how many times each specific surgical procedure was performed.
Navigation: Theatre → Theatre Analytics → Surgery Wise Count
Filters:
- From Date / To Date
- Surgery Name (autocomplete — filter to a specific procedure)
- Surgery Category (autocomplete)
- Chart Type (Bar / Line)
Report Output:
- Monthly breakdown table
- Dynamic chart based on selected type
Export: Print, PDF, Excel
Use When: Analysing demand for specific procedures, planning theatre lists, or reviewing procedure volume trends.
Purpose: Shows how many surgeries were performed in each operating theatre room.
Navigation: Theatre → Theatre Analytics → OT Room Wise Surgery Count

- Chart Type (Bar / Line)
Report Output:
- Table with OT room breakdown and surgery counts
- Chart visualisation
Export: Print, PDF, Excel
Use When: Reviewing OT utilisation by room, identifying under-used or over-used theatres, planning maintenance schedules.
Purpose: A comprehensive clinical and demographic survey of all surgeries in a period — showing patient details, surgical details, and institutional data.
Navigation: Reports → Management Reports → Surgery Survey
Filters:
- Discharge From / To dates
- Surgery Type
- Report Type (Summary / Detail)
- Institution, Site, Department (optional)
Report Output:
- Detail view: Per-patient rows with demographics and surgery information
- Summary view: Aggregated counts
Export: Print, PDF, Excel
Use When: Preparing monthly or quarterly OT statistics for clinical governance, producing data for Ministry of Health submissions, or institutional review.
Purpose: Shows the current status of surgeries with OT room assignment and scheduling information.
Navigation: Reports → Management Reports → Surgery Status
Filters:
- OT Room (dropdown)
- Proposed Surgery (dropdown)
Report Output:
- Table: MRN, Patient Name, Admission Date, Proposed Surgery, OT Room, Ward, Surgeon, OT Status, Consultant
Export: Print, Excel, PDF
Use When: Reviewing which patients are scheduled for surgery, monitoring OT room assignments, tracking surgical status for ward planning.
Purpose: A detailed financial analysis of surgery costs — broken down by room charges, drug charges, professional fees, hospital charges, and net amounts. Supports multiple summary dimensions.
Navigation: Reports → Management Reports → Surgery Cost Estimation
Filters:
- Discharge date range (From / To)
- Institution, Site, Department
- Patient MRN (specific patient)
- Admitting Doctor, Surgeon, Assistant Surgeon
- Surgery Status, Surgery Type
- OT Room
- Surgery Name
- Report Type:
- Detail — One row per surgery with full cost breakdown
- Summary By Surgery Time — Grouped by time of surgery
- Summary By Surgery — Grouped by procedure name
- Summary By Surgeon — Grouped by surgeon
- Summary By OT Room — Grouped by theatre room
Report Output:
- Columns: SL No, MRN, Patient Name, Admission No, Admission Date, Bed No, Surgeon, Surgery Type, Service Name, Room Charges, Drug Charges, Total Hospital Charge, Professional Charge, Total Amount, Bill Discount, Net Amount
- Chart visualisation of cost estimates
Export: Print, PDF, Excel
Use When: Financial analysis of OT costs, preparing cost summaries for management, reviewing individual surgery profitability, or comparing costs by surgeon or OT room.
- Date range matters: Most reports use the surgery date (or discharge date for cost estimation) — ensure the correct range is selected
- Export to Excel when you need to further analyse data or combine with other reports
- Chart type: Bar charts are easier for comparisons, Line charts are better for trend analysis over time — choose based on the audience
- For the Surgery Cost Estimation report, start with the Summary views before drilling into Detail — the detail view can be very large for busy periods
