Pharmacy Bill Search

Use these screens to find any pharmacy bill raised in your department: GRNs, direct purchases, purchase orders, transfers, issues, sales, adjustments, disposals, inpatient medicine issues and more.

There are three ways to search:

Pharmacy Bill Search by Bill Type Pharmacy → Pharmacy Bill Search by Bill Type List bills of one bill type (for example all GRNs). Also finds older bills that were saved before detailed bill types existed.
Pharmacy Bill Search by Bill Type Atomic Pharmacy → Pharmacy Bill Search by Bill Type Atomic List bills of one exact kind (for example only cancelled GRNs, or only inpatient direct issues).
Pharmacy Bill Search by Item Pharmacy Analytics → Procurement Reports → Pharmacy Bill Search by Item List bills of one exact kind that contain a particular item (for example every GRN that received a given medicine).

All three show bills of the department you are logged in to.

Searching

The filters sit in one row at the top of the screen:

  1. From Date / To Date – the period in which the bill was created.
  2. Bill Type – the kind of bill to list. You can type in the box to filter the list.
  3. Item (Search by Item only) – type at least 3 letters of the item name and pick the item.
  4. List Count – the maximum number of bills to bring back (newest first).
  5. Click Search (or press Enter).

Pharmacy Bill Search by Item: every GRN in the period that contains the selected item, shown in the same GRN table as the other bill searches (bill details blurred).

The results table

Each bill type has its own table with the columns that matter for it (for example GRN No, PO No, Invoice No and Dealer for GRNs). Bill types without a special table use a common table showing bill number, type, date, from / to department or institution, patient and BHT (for inpatient issues), billed by, net value and status.

In every table you can:

  • Filter a column by typing in the box under its heading, or sort by clicking the heading.
  • Change the number of rows per page (25, 50, 100 or 200) at the bottom.
  • Click Download to export the table to Excel.
  • Click the eye button to open the bill.

Opening the Search by Item report

The report is on the Pharmacy Analytics page, under Procurement Reports. Click the star next to it to add it to your ⭐ Favorites tab.

Who can see it

  • The user needs the Pharmacy Bill Search by Item privilege (Privileges for All Sections → Pharmacy Analytics Reports → Procurement Reports).
  • An administrator can hide the button for the whole system with the configuration option Pharmacy Analytics - Show Pharmacy Bill Search by Item (on by default).
